RESPONSIBILITIES
RECEPTION DUTIES:
· Greet visitors
· Directing calls to appropriate office staff, screening calls, taking messages
· Receiving, sorting, distributing and dispatching daily mail
· Managing office inventory such as stationery
SALES:
· Services existing accounts
· Provide pricing quotes to customers
· Track orders and update customer
· Submit orders to vendors
· Keep management informed of any potential issues with orders
· Resolve customer complaints: Investigating problems, developing solutions and acting
· Maintain and track core compressor returns and issue credits as needed
· Maintain records of customer sales and vendor purchases
ACCOUNTING DUTIES:
· Accounts receivable – Processing accounting receivables and incoming payments incompliance with financial policies and procedures
· Perform day to day financial transactions, including verifying, posting and recording accounts receivables’ data
· Prepare bills, invoices and bank deposits
· Email invoices to customers and file appropriately
· Process credit card payments and record
· Facilitate payment of invoices due by sending bill reminders and contacting clients
· Accounts payable – Processing accounts and incoming payments in compliance with financial policies and procedures
· Receive all bills from vendors and enter into QBO for payment
· Verify any discrepancy in price or items received
· Each week run bills for payment
· Compare monthly vendor statements against RPC records
· Call vendor with any discrepancies
· Balance the credit card statement monthly
· Reconcile cash box
MISCELLANEOUS DUTIES:
· Keeping track of vehicle registrations, etc.
· Completing and updating corporate licenses/certifications
· Yearly archiving of all files
· All other tasks as assigned
Knowledge and Skills
The person for this role is energetic, organized, and a team player. You should possess strong interpersonal and communication skills. Sales experience and HVAC industry parts knowledge a plus.
KEY REQUIREMENTS:
· High school diploma
· Intermediate / expert computer knowledge with MS Office, QuickBooks On-line and Web-page building.
