Position Title: Executive Assistant

Type of Position: Full-time, hourly with benefits

Reports To: Executive Director

Minimum Required Hours: 40 hours per week, including meetings outside of normal business hours as needed and emergency assistance in rare circumstances after hours.

To work with an energetic and passionate Executive Director in a fast-paced and fulfilling environment that is making case management, trauma therapy, and social venturing at a small non-profit possible. Looking for self-starter who is focused, attentive to detail, resourceful and capable of anticipating the needs of the Executive Director, as well as adept in time management, technology, communication (written and verbal), problem-solving, research, and working independently or with a team. To fill the role of Executive Assistant with potential for growth.

Responsibilities include:

  • Assist the Executive Director with internal and external communications and letter writing

  • Manage the Executive Director’s schedule

  • Generate recurring and episodic reports for the development team

  • Maintain and update donor contacts, activity logs and records in Salesforce and Google

  • Maintain and update Asana Project Management software to help keep projects on track

  • Develop systems and procedures to streamline workflow

  • Provide meeting support as needed (e.g., scheduling conference rooms, coordinating food, logistics)

  • Assist the Executive Director monthly in Board meeting preparation, including preparing and sending board meeting packets, set up, coordination, and taking meeting minutes, maintaining the board roster and associated board files as well as the board books

  • Book travel and make arrangements for travel accommodations

  • Assists the development team on special projects and events, as assigned by the Executive Director

  • Enhance the total efforts of RS through active involvement with community, including serving in Thelma’s Kitchen or other program activities as assigned

  • Ongoing prospecting and research of resources

  • Provide occasional support outside of normal business hours as needed and emergency assistance in rare circumstances after hours

  • Other duties as assigned

Skills:

  • Highly organized and detail oriented

  • Flexible and team-oriented with a great sense of humor

  • Exceptional professionalism and interpersonal skills, including excellent written and oral communication skills necessary for reviewing communications, written reports and giving oral presentations and trainings

  • Able to take an idea in nascent form and work independently to develop it to fruition

  • Excellent project management skills

  • Proficient in Microsoft Office Suite, Google Apps Suite and project management software (like Asana)

  • Proficiency with Salesforce database preferred

  • Excellent people management skills

  • Capable of learning new processes and functions quickly and assimilating them into daily use

  • Warm, genuine, empathetic, and tolerant

  • Able to work independently and self-start on task - to foresee a need and rise to meet it without being directed

Education & Experience:

  • Bachelor’s degree or higher prefered

  • Minimum one year office administrative support experience is preferred, preferably in a non-profit organization or similar human services environment
