The Assistant Event Manager will provide support with operational activities in events, vendor oversight, reception services, equipment and supplies.
Track Revenue Against Goals; each team member against their personal sales goals for travel events by regularly entering sales and contracts into master file.
Create and distribute Salesforce reports as requested. Other team members do not have export rights.
Produce weekly sales and revenue reports for Director
Manage the agenda and update notes from monthly team meetings for group
Work with sales team to produce additional revenue from suppliers in sponsorship and advertising. This includes promoting these opportunities, calling and emailing suppliers to suggest additional promotional opportunities.
Liaise cohesively with the Marketing Director and contracted designer to produce event collateral and show directory. Develop supplier listings, front of book pages, and house all directory ads.
Manage supplier listings on each webpage
Create and send to marketing all lists for sales prospecting exported from salesforce.
Manage the agenda, notes, and updated notes for monthly team meetings and distribute to all invited team members.
Manage all speakers in the programs. This includes speaker invitations, speaker materials collected such as session title, session description, gathering materials and presentations, bio of speaker, image of speaker for website and directory and promotion.
Manage conference session inventory in terms of assigning suppliers to panels, all communications with them about gathering materials and where to check in onsite.
GMITE Advisory Board - Handle invitations, maintain list and communication, organize calls and meetings, attendee communication/spearhead operation tasks including: food and beverage orders, onsite setup, attendee housing, name badges, gift ordering, etc. - collect, review and organize all notes for post-con meeting.
Work with host destinations to be sure we are honoring our commitments overall in terms of marketing, operations and promotion.
Back up to supplier and buyer services as needed during the year.
Other responsibilities as the events evolve and grow.
