Lighting and Shading Company in Los Angeles seeks a multitasking superstar for our
Operations Assistant Position.
In this position you will be responsible for a variety of clerical tasks both for the shades and lighting departments. Including but not limited to: data entry, order entry, order follow-ups, email communications, scheduling, service coordination, project coordination, customer service, and some phone coverage.
Ideal candidate will need to have a can do attitude and a desire to get the job done.

Maintain excellent administrative services.
Establish and maintain consistent and effective data management as it relates to emails, passwords, server, paper, and online filing systems to ensure productivity and consistency across the company.
Provide historical reference by following procedures for retention, protection, retrieval, transfer, and disposal of records. (hard copies or electronic)
Perform clerical and administrative functions as directed by the Captain and/or established procedures
o Create all new Job folders according to company procedures.
o Open and close all jobs according to company procedures.
o Ensure a Certificate of Insurance and Preliminary Notice is issued to the appropriate party and then is scanned to job folder
o Maintain permits, log and update binder
o Files drawings and plans per company procedure
o Maintains the Plans Spreadsheet
o Assist Co-Captain or Captain in preparing field estimates initial review.
o As directed by Co-Captain, make follow up phone calls to clients regarding the status of estimates previously submitted and/or to update files.
o Create C/O estimates
o Maintain Plotter and printer supplies
o Upon receipt of client’s approval of our c/o service calls coordinate scheduling, and approval for a job folder by the CEO, prepare project file folder or binders for: CEO, Field and store electronically on server by job.
o Maintain & file approved project folders.
o Communicate and provide status update about clients and job coordination.
o Cover phones when the front desk needs assistance. Ensure that all phone calls are answered within three rings and answers with a polite, "Good morning (or afternoon), Powerfull Systems, (name) speaking, how may I help you?" When at the front desk, greet visitors with a smile and a positive attitude. Immediately report any suspicious visitors to management. The visitor policy and sign in sheet should be enforced. The front desk should never be left unattended
o When requested, train other employees.
