We are a well established and continually growing AAHA Accredited Animal Hospital in Leesburg, Va seeking qualified and motivated client service professionals to join our team. We are focused on providing the highest levels of patient and client care and strive to create a team of professionals dedicated to making our clients and patients feel a part of our family. We are open to Part-Time and Full-Time applicants and look for individuals with a flexible schedule and ability to work at least 1 or 2 Saturday's per month. As an essential member of the Client Care staff the Client Care Representative will represent the hospital as a first line of contact and relationship building for current, new, and potential clients. They will create a warm and welcoming rapport, maintain the lobby environment, and work to ensure a streamlined and efficient schedule for the patient care team. The Client Care Representatives primary responsibilities are to respond to and communicate the clients concerns and needs, provide consistent communication and follow-up with all other departments to ensure client expectations are met and exceeded. Experience with Impromed or other practice management software a plus.

Basic Job Requirements:

  • Good client communication and telephone skills
  • Advanced computer skills/literacy and a willingness to learn.
  • Multi-Task client services, internal communication, and medical record keeping
  • Able to work on feet all day.
  • Able to work together as a team.
  • Ability to perform moderately heavy physical labor, able to lift at least 40lbs without assistance.
  • Understand proper veterinary terminology, procedures, commonly prescribed medications, and protocols.
  • Ensure Client/Patient Database is maintained accurately and efficiently
  • Basic understanding of animal behavior and medical care to better field client concerns and channel them to the appropriate member of the patient care team.
  • Focus and desire to maintain a clean and orderly work environment that is welcoming to clients and team members.
  • Ability to resolve client questions or concerns in a client focused professional manner and to know when these need to be forwarded to the management team for follow-up or resolution.
  • Ability to recognize patients in distress
  • Basic Math Skills
  • Basic English, Reading, Writing and Verbal Skills
  • HS education or equivalent

Duties include but not limited to:

  • Fields calls and directs clients appropriately and efficiently to ensure needs are being met
  • Greets and welcomes clients to the hospital acknowledging pets and being aware of expected arrivals
  • Effectively facilitates communications between clients, patient care team, referral practices
  • Manages hospital email/app communications to ensure accurate follow through
  • Maintains Food inventory and area to ensure it is clean, stocked, and ready to dispense
  • Review Invoices with clients for accuracy and process payments for services/products
  • Prepares and sends medical/vaccination records when appropriate or requested.
  • Monitors supplies, restocks the front desk. f any items need to be ordered, they are placed in the Want Books located in the departure cabinet and pharmacy.
  • Controls Appointment flow to ensure appointments run smoothly
  • Educates Clients on Vaccines and basic wellness care
  • Vacuum and mop all specified areas of the hospital daily
  • Maintain the hospital money drawer and end of day reporting
  • Safely transport patients and/or supplies to clients in the parking area
  • Other duties as assigned.
