We are seeking an Administrative Specialist to join our team! Maryland Out of School Time Network and Maryland MENTOR seek a detail-oriented, enterprising, and energetic Administrative Specialist to provide support to two connected and growing youth development intermediary organizations. You will perform administrative functions in order to drive company success.
Responsibilities:
- Draft correspondences and other formal documents
- Schedule appointments and events
- Manage all aspects of meeting logistics including ordering food, securing locations, and preparing materials
- Greet and assist onsite guests
- Order office supplies
- Answer telephone calls
- Develop and implement organized filing systems
- Compile and send email newsletters
- Update website and social media
- Develop and maintain databases
- Organize travel
- Manage receipts and reports for credit card expenses
- Create and track invoices
- Work with contractors to ensure continuous operation of office equipment, technology, internet and phone service
- Coordination of office activities including staff meetings and celebrations
- Help to coordinate logistics for major events (conference and fundraisers)
Qualifications:
- College degree preferred. High school diploma or equivalent required
- Previous experience in office administration or other related fields preferred
- Ability to prioritize and multitask
- Excellent written and verbal communication skills
- Strong attention to detail
- Superior organizational skills
- This position will require positive thinking, problem solving, flexibility, and the ability to prioritize and simultaneously execute multiple projects.
- A high level of proficiency with the Microsoft Office suite is required
- Experience using variety of cloud-based software tools: Google Drive, MailChimp, Canva, Eventbrite, SurveyMonkey
