We are seeking an Operations Manager to become an integral part of the Maryland MENTOR team!

The Operations Manager position for Maryland MENTOR manages local scheduling and real time operations that facilitate the maximization of resources, productivity, efficiency, schedule adherence and profitability. The Operations Manager will supervise a team of AmeriCorps VISTA members and sometimes a team of interns or part-time staff. The Ops Manager will also be tasked to do the following, but not limited to: coordinate and manage project tasks to ensure project delivery within timelines, oversee maintenance of all internal databases including NMRC, Mentoring Connector, and Maryland Mentoring Program Database, improving operational management systems, processes and best practices that guarantee organizational well-being and develop, implement, enforce, and evaluate, policies and procedures and communicate all operating policies. Additional responsibilities include systems and project management, team support, office support and external communication on special projects.

RESPONSIBILITIES

Operations

  • Coordinate and manage project tasks to ensure project delivery within timelines

  • Oversee maintenance of all internal databases

  • Improving operational management systems, processes and best practices that guarantee organizational well-being

  • Work with Executive Director to conceptualize tactical goals according to organizational vision and strategic objectives

  • Serve as internal leader of the organization, providing for day to day leader presence for all staff

  • Hold teams accountable for operating and measuring results under established processes, systems, and metrics.

  • Coordinate, implement, and evaluate quality assurance initiatives

  • Develop, implement, enforce, and evaluate, policies and procedures and communicate all operating policies

Systems/Project Management

  • Oversee the Technical Assistance processes through internal databases

  • Oversee maintenance of the Mentoring Connector

  • Enhance the operational procedures, systems, and principles in the areas of information flow and management, business processes, enhanced management reporting and look for opportunities to expand systems.

Office Support

  • Oversight of inventory, purchasing, and supplies

  • Schedule internal and external meetings and appointments

  • Create and manage onboarding process for new hires

  • Maintain internal communications, including scheduling team meetings and one to one status meetings

  • Consultant cadre support

Additional responsibilities

  • Communications

    • Plan and Create campaign strategies

    • Improve systems and templates related to communications processes

Desired Skills and Experience

  • At least 5 years of management experience overseeing business and financial operations, and driving significant results in a high-performance, rapid-growth social enterprise or innovative business.

  • Proven track record of achieving short and long term organizational objectives and financial results through the implementation of infrastructure, business processes, and systems.

  • Excellent quantitative knowledge and problem solving skills in order to analyze, assess, and manage financial, technology, administrative and operational execution.

  • Experienced strategist and innovator who will contribute in the leadership, management, and growth of the organization.

  • Strong analytical, critical thinker and problem solver who can lead research strategy and tactically manage plans.

  • Self-starter with an entrepreneurial spirit who will not be afraid to roll up sleeves to get the job done, regardless of the task.

  • Confident, mature listener with excellent written and verbal communication and presentation skills.

  • Highly accountable and results-driven with the ability to set and use goals to guide action and objectively measure performance.

  • Passion for supporting disadvantaged youth and youth mentoring initiatives; experience in a non-profit or youth development setting strongly preferred.

  • Bachelor’s degree required; advanced degree in business or similar field strongly preferred.

  • Knowledge of general business software and aptitude to learn new applications; proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint), Wordpress and a variety of web-based applications

  • Experience working with data collection, measurement, analysis and reporting tools.
