We are seeking a highly motivated, detail oriented and experienced Administrative Assistant to support the office of this professional firm in a Temporary-to-Hire capacity.

Successful candidates will possess exceptional attention to detail, as well as a strong command of the English language with emphasis on writing, grammar, and punctuation.

Job Responsibilities

  • Provides administrative support to partner or executive, as assigned.
  • Correspondence: write, proofread, edit and send business correspondence, including mail merge documents, using existing templates, and creating new ones. Expert MS-Word skills required.
  • Work with client database, including data entry, data extraction, report creation, and customization.
  • Scanning of confidential documents.
  • Tracking of electronic and paper files.
  • Prepare client packets after preparation of tax returns; prepare documents for electronic submission to appropriate government agencies.
  • Provide occasional backup to receptionist, and telephone duties.
  • Process outgoing and incoming mail; internal mail distribution.
  • May maintain and stock office supply inventory.
  • Maintenance of office break rooms and office production rooms.
  • Assist with tax/audit team support.
  • Other duties and projects as assigned.

Qualifications and Requirements:

  • High school diploma, with AA degree strongly preferred, or equivalent combination of education and work experience; bachelors degree preferred.
  • Two (2) years minimum experience in office or administrative role.
  • Demonstrated high proficiency in MS-Word and Outlook, including excellent writing and proofreading skills, and mail merge. Excel and PowerPoint preferred, not required.
  • Proficiency in use of databases, particularly in data entry, data extraction, report creation and customization. CRM experience preferred; CCH Practice Management nice to have.
  • Excellent command of the English language, including spelling, grammar, punctuation, and business writing.
  • Professional, reliable, personable, tactful, efficient, and self-motivated.
  • Small/midsize company experience preferred.
  • Experience with executive administrative support preferred.
  • Public Accounting or financial services industry experience preferred.

This position is non-exempt and is paid hourly, according to the laws of the State of California.
