We are looking to hire a top notch Executive Assistant to support a top-producing real estate agent in our beautiful, brand new office in Roscoe Village! You will help keep our office churning by being in charge of a variety of tasks that range from office management to marketing to event planning to real estate!
Sit at the front desk and build relationships with clients when they come into the office
Answer the phone- set appointments and direct calls to right person
Manage a high volume inbox and see that everything is answered in a timely manner
Keep track of team anniversaries, birthdays and reviews
Plan fun quarterly team outings
Handle billing, payment records and always aiming to lower expenses
Preparation of materials and daily sending of meeting preparation boxes for clients
Provide technical support for team in office helping troubleshoot their issues or finding the resource who can
Database entry and creation of phone call lists for team
Perform other office tasks (replenish all office supplies, distribute mail, custodial duties, etc.)
Manage efforts for direct mail campaigns by working with our designer and managing deadlines for getting pieces out the door
Keep us on track for biweekly creation of content and recording of video blog, editing it and final approval in a timely fashion
Posting on all social media platforms with your own created content, market news, publications written about our team or postings of our properties not yet on the market to Facebook, Instagram, Twitter, LinkeIn, & YouTube
Update open house information on our website weekly (Squarespace platform) plus creation of new pages for content when needed
Upkeep of front window displays with weekly postings of properties coming on the market
Interacting with our clients on social platforms like sending birthday messages and other outreach
REAL ESTATE TASKS
Research for preparation of Comparative Market Analyses
Preparation of contracts for each new client
Inserting each new client into our database and preparation of their home for sale before you do a handoff to our Listing Manager.
Possibly obtaining real estate license to increase your knowledge of the field
Oversee investment properties
Coordination of our company's sponsorships at community events.
You would be in charge of setting us up for these events and in some cases staying for the whole event to help run it with us.
You would interact with the person organizing each community event and provide our logo, advertisement creation, ordering of swag for all participants, and whatever else is required, etc.
We also host our own client events which you would be in charge of- booking venue, creation and distribution of invites or evites, ordering of food, etc.
For our events, you would help with setup and in many cases staying to help us run the event.
