Part Time Administrative Assistant

Responsibilities for the Part Time Administrative Assistant:
  • Capture customer information on a lead form sheet and schedule an appointment
  • Enter customer information into Acculynx and assign lead to a sales consultant
  • Order an Eagle View report for each re-roof job address through Acculynx
  • Understand job flow; assist in all in all aspects
  • Run credit card payments, record in QuickBooks
  • Assist Production Manager in ordering special job materials (Skylights, etc.)
  • Upload necessary paper documents into Acculynx
  • Keep track of permits and mail to customers, order inspections
  • Assist the Production Manager in scheduling work
  • Maintain contact with customers and keep them updated on the installation schedule
  • Make periodic "touch calls" to customers to help manage their expectations
  • List scheduled jobs on Acculynx calendar; order dumpsters as needed
  • Ensure that the installation is fully complete
  • Review, note and file checklist items such as, removal of dumpster, leftover materials removed, cleanup of yard, receipt of warranty paperwork and invoice and paid receipt
  • Assist customer throughout the installation process and confirm their full satisfaction
  • Maintain up-to-date files on all subcontractors
  • Maintain subcontractor’ s Workers Compensation and Liability Insurance policies
  • Keep payroll quarterly reports filed and easily accessible
  • Comply with all requests for audit information
  • Review audit data with owner before submittal
  • Be familiar with various manufacturers rebate programs
  • Submit paperwork in compliance with rebate rules and before stated deadlines
  • Ensure collection of funds
  • Update skylight orders on Velux site bi-weekly to keep up to date for rebates
  • Arrange and organize various meetings and company events
  • Order various clothing items throughout the year to keep all employees looking sharp and professional.
  • Be familiar with various resources online, including HR, employee benefits, new hires, Cobra, etc.
  • Help employees understand and access these tools
  • Maintain a contact list and passwords for accessing resources. (Store these and all other contacts in Acculynx contacts page)
  • Maintain employee files and Employee Handbook
  • Keep office supplies such as paper, ink, pens and pencils stocked
  • Keep estimating documents, contracts, manufacturers documents, etc., stocked and organized
  • Arrange for the cleaning of and general organization and maintenance of the office, office equipment and furnishings
  • Maintain website: Blogs, new hires, photos, etc.
Requirements for the Part Time Administrative Assistant:
  • Bachelor’ s Degree
  • Technology savvy with a strong knowledge working with Microsoft Office
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
