TITLE: Communications Administrator

QUALIFICATIONS: College Degree and association experience preferred. Proficiency in computer graphic arts, website, publishing and Microsoft Office software programs preferred. Data entry required. Excellent writing, communication and customer service skills. Experience and high degree of comfort in dealing with the membership and the media is necessary. Experience and training considered in lieu of association experience.

BASIC FUNCTION: Performs data entry and follow up for membership services. Communicates with membership; promotes company activities; writes media releases; maintains the company website.


Membership & Member Services

§ Provide membership statistical information to Executive Director, staff, company Board of Directors, Co. Board of Directors, Committee Chairs, District Presidents. (monthly, or as need arises)

§ Produce monthly membership reports for district presidents from online reports. Each district report has to be pulled out of entire list by category, saved to hard drive separately and then sent out to each district president. Only reports relevant to each district are sent.

§ Rent labels/lists of membership. Sometimes involves extensive search of data. (as need arises)

§ Publish monthly e-newsletter

§ In collaboration with the Marketing Member Services, IT Manager

o Process membership applications from mail and website. Includes database entry and relay of information to etc.

o Send email to new/renewing members “Welcome to Co.” or “Welcome Back“ etc.

o Forward information packet to new members. (twice per month) If they have not been a member for longer than six months, and are renewing, send them a “Long-Time Renew” packet.

o Produce and forward a first and second delete letter to non-renewing members (Monthly)

o Forward email to people up for renewal. (Monthly)

o Produce and forward a letter to new members who have been with Co.for six months and again at 10 months. (Monthly review of membership is needed to accomplish)

o Maintain a members’ customer service/fulfillment area within Co. by answering members’ requests for brochures, applications, district reports, member address labels, membership cards, information packets, Member Only area of website problems, membership reports, labels, dues receipts, etc


§ Monitor media coverage of company. Inform Executive Director, and prepare appropriate responses.

§ Write and distribute media releases to promote Co. events and generate media coverage. Arrange press coverage for events, conferences and annual meeting. Coordinate press interviews with Co. leadership.

Website Duties

§ Monitor Co. Forums and Listservs in the Members Only area for new posts and determine if content is appropriate and legal for discussion by the group.

§ Maintain Co. pages and other areas as needed

§ Manage Social Media

Committee Liaison

§ Work with assigned committees as staff liaison to set up meetings, order lunches for meetings, and distribute pertinent information.

§ Complete minutes and maintain task sheet for each committee meeting held.

§ Maintain current roster of each committee, track terms of committee members.

§ Maintain all Co. Committee Rosters in Raiser’s Edge

The Company Provider Activities

§ Promote activities on website.

§ Prepare marketing materials for events including Convention Program and brochures.

§ Process all Co. event registrations, including name badges, registration lists and reports. (3-4 times per year)

§ Provide event registration statistics. (3-4 times per year)

Administrative Duties

§ Answer phone Process daily mail, logging all checks in Daily Check Log Register.

§ Answer door and greet visitors.

§ Develop and produce various forms, charts and other materials to facilitate a smooth flow of information internally and externally.

§ Design and deploy surveys regarding workplace advocacy, membership or other areas as assigned.

§ Maintain Database for company.

§ Additional tasks as assigned by Executive Director


Position reports directly to the Executive Director and interacts with Co. Staff, Board of Directors, individual members, Co. structural units and Co. Districts.


Position interacts with prospective members, the general public, vendors, and health organizations, printers, and the media.
