Job Title: Student Services Manager Reports to: Program Director/21st CCLC Director Status: Full Time
Position Summary: Manage/supervise services provided to Kids’ Orchestra students during year-round programming including recruiting, applications, enrollment, attendance, tuition, and meals; other duties as assigned.
Requirements: Minimum of bachelor’s degree required. Proficient in Microsoft Office Suite and cloud-based services such as Microsoft SharePoint and Google Drive. Excellent communication skills required.
Essential Duties and Responsibilities:
Assist with student recruiting throughout the program year
Coordinate student/community volunteer program
Create student applications for all KO programs
Create and execute plan for receiving and processing student applications
Maintain accurate registration/enrollment files in all online platforms
Generate all site paperwork (student attendance, bus rosters, etc.)
Supervise distribution of site paperwork to sites
Drop/add students as necessary from program maintaining effective communication to all program managers
Track and maintain attendance data for all Kids’ Orchestra Sites
Contact families (email, phone, etc.) when students are excessively absent from programming
Maintain all student data and attendance for 21CCLC Grant Sites in Youth Services
Generate relevant reports and documents when requested via appropriate platforms
Generate and distribute tuition invoices, track payments, and update accounts across all necessary platforms
Collect proof of income to determine level of tuition/payment plans
Create and oversee tuition promissory agreements
Communicate with families when necessary for tuition collection
Supervise meal/snack services for all KO programs
Communicate with appropriate vendors/sponsors regarding meal/snack services
Generate and distribute appropriate paperwork and maintain accurate records of meals served
Participate in meal/snack service training and coordinate same training for other office staff
Other Program Duties
Assist with distribution and collection of equipment
Attend and work concerts, community events, fundraisers, school events, etc.
Occasional evening and weekend commitments required
Serve on relevant committees such as Grant Committee, Summer Camp Committee, etc.

Kids’ Orchestra is the largest after-school music program for Kindergarten through fifth-grade students in the United States. Nearly 800 students from across East Baton Rouge Parish are enrolled in Kids’ Orchestra programming where they study an instrument, perform in an ensemble, and/or sing in a choir.
