Job Title: Office Manager
Reports to: Program Director/21st CCLC Director with duties assigned to Executive Director
Status: Full Time

Position Summary: Ensure efficient operation of Kids’ Orchestra (KO) office via assigned duties including: executive assistance to KO ED; accounts payable and accounts receivable; office equipment and supplies; incoming and outgoing communications; office safety, security, and organization; on-boarding of office staff and site staff; and site staff payroll.

Requirements: Proven management, administrative or assistant experience required. Proficient in Microsoft Office Suite and cloud-based services such as Microsoft SharePoint and Google Drive. Excellent communication and time management skills required. Experience with accounting procedures preferred. College degree preferred.

Essential Duties and Responsibilities:

Executive Assistance

  • Perform clerical, secretarial and administrative duties for the executive director
  • Manage executive director’s schedules, calendars and appointments
    • Other duties as assigned by ED

Accounts payable and accounts receivable

  • Manage check requests and invoices for KO operations; maintain accurate records of such
  • Reconcile credit cards for KO directors using appropriate funding sources and budget codes
  • Collect and maintain documentation, reconciliations, and reports to support internal and external audits
  • Work in coordination with The Powell Group (TPG) to maintain accurate AP and AR

Office equipment and supplies

  • Maintain inventory of office supplies and order when necessary
  • Maintain and assist with copy machine (ordering supplies, vendor relations, etc.)
  • Manage contract and price negotiations with office vendors, service providers and office lease

Incoming and outgoing communications

  • Answer phones, update auto-attendant and phone tree and serve as face for all KO visitors
  • Maintain and distribute contact information for KO office staff and TPG
  • Serve as point person for mailing, shipping, supplies, equipment, and errands

Office safety, security, and organization

  • Help keep all community spaces clean and orderly
  • Maintain communication between building owner and KO for maintenance, repairs, etc.
  • Maintain office safety and security, develop emergency plan, and organize office ops and procedures

On-boarding of office staff and site staff

  • Serve as lead for on-boarding of all new office staff
  • Maintain accurate records and contact information for all site staff
  • Coordinate background checks and Child Abuse Prevention training for all office and site staff
  • Maintain personnel files for all office and site staff
  • Partner with HR to maintain office policies as necessary

Site staff payroll

  • Complete and submit bi-weekly payroll for all site staff

Kids’ Orchestra is the largest after-school music program for Kindergarten through fifth-grade students in the United States.
