Joe Taylor Restoration is seeking an Office Manager of exceptional professionalism and competency to further lead our Office Team. The Office Team represents our company by providing premier customer service. Our team members are adept at handling a very active call center as well as managing a heavy email volume. While many Office Management skill sets and character traits are transferrable, someone with knowledge of the property and casualty insurance industry and claims processing will stand out. What You Will Do
Manage our customer service call and dispatch center
Prepare and update (SOP's) Standard Operating Procedures for all office positions.
Maintain office efficiencies by planning and implementing office systems, ordering office supplies, and processes to streamline workflows.
Audit and approve correspondence and files for processing.
Assign and monitor all administrative functions.
Research, train, roll out, monitor and maintain all client programs.
Responsible for updating the organizational chart, maintaining and organizing files for storage, and organizing company functions.
Maintain employee license information, update business and state licenses.
Intake and prepare job files, dispatch assignments to technicians and update client information in Sugar CRM database. Review accuracy and completeness of all initial, supplemental, final reports, scopes, invoices and pertinent paperwork prior to remitting to carriers. Scan and prepare all client folders for storage.
Prepare and attend weekly and quarterly management meetings.
Any and all other duties assigned by the supervisor.
What You Will Need
Experience and Decorum
College degree with 5+ years experience or 10+ years experience in office management
Exceptional interpersonal skills, friendly, confident and emotionally intelligent
Excellent time management and organizational skills
Flexible in their duties and able to anticipate needs
Familiarity with HR functions and considerations
Written and verbal prowess
