Description: The Executive Assistant has a significant role in managing the administration and logistics of two-three Senior Director’s daily activities. Additionally, this role will oversee and manage special projects and administrative initiatives.
The Executive Assistant will be responsible for:
Providing calendar and appointment management for the two-three Senior Directors of the Partnerships and Strategic Initiatives teams.
Managing the Partnership team calendar – marking team travel, setting up and tracking scheduling for team training, retreats, and meetings, and cross-departmental meetings.
Assisting with school and district contact management to support Partnership and Strategic Initiatives.
Administrative support to remote employees and special programs including our Equity Leader Lab program.
Booking travel and providing logistical support for trips and business meetings.
Handling event management activities including space arrangements, a/v, catering, attendee management, preparation of supporting materials and capturing notes and action items.
Assisting in the development of the meeting agendas, capturing notes and action items, and preparing materials to support the leader’s work.
Managing monthly expense reporting by processing credit card transactions, reconciling and documenting charges, and preparing reimbursement requests.
Setting up effective systems and procedures to enhance Partnerships leader’s bandwidth in all areas of responsibility.
This job may require infrequent travel (up to 5%)
Bachelor’s degree is preferred for this role.
Five or more years of relevant experience as an office manager or executive assistant.
