Job purpose

Responsible for the scheduling of surgeries, taking into consideration the desired date, priority of surgery, length of surgery, and effectively communicate surgeries with patients.

Duties and responsibilities

 Creates surgery checklists, the surgery schedules, and superbills

 Performs preoperative testing

 Verifies patient insurances and calculates patient's portion of payment

 Manage incoming and outgoing phone calls and emails regarding surgeries

 Prepares charts and reviews surgery paperwork in detail for accuracy and completion

 Submits surgery schedule and paperwork to the doctor performing the surgery for final review

 Interact with patients and families to facilitate accurate flow of information and ensure increased responsiveness

 Contacts patient in regards to missing information, payment, provides instructions, and advice on surgery arrival time

 Copy and submits all necessary documents to Ambulatory Surgical Center in a timely manner prior to surgery date

 Checks electronic health record for upcoming patient appointments and pull charts for all future appointments including surgery appointments

 Optimizes patient satisfaction by providing excellent customer service (phone etiquette, in person interaction)

 Maintain patient accounts by obtaining recording, and updating personal and financial information

 Smiles and greets each patient as he/she comes into the office

 Assists in resolving patient conflicts and complaints in a professional manner, as well as, informing the appropriate parties within 24 hours

 Checks patients in and out efficiently, and professionally

 Interacts well with patients in the waiting room by keeping them updated and ensuring their wait is as pleasant as possible

 Implements and enforces all company rules, procedures and policies

 Contribute to team effort by accomplishing related tasks and results as needed

 Answers multiple phone calls professionally, returns messages and replies to all emails to appropriate parties within 24 hours  Ensure accurate bookkeeping at the beginning and at the end of each day

 Examine insurance cards carefully to verify and confirm proper coverage through insurance verifications

 Schedule appointments and enter data into scheduling system

 Ensure timely and accurate batching out at the end of each day

 Ensure that all recalls are up-to-date

 Accurately collect balances due, co-pays, deductibles, co-insurances, etc.

 Follow-up with patients using the appointment confirmation system or making direct calls

 Assists patients to complete all necessary forms and documentation including medical insurance

 Maintain stock of appropriate forms and office supplies

 Ensures reception area is well-maintained, neat and clean

 Maintain an appropriate, and professionally dressed and groomed appearance

 Competent in scheduling appointment for patients

 Knowledgeable in cosmetic procedures offered at EWEI

 Attends required staff and educational meetings as requested

 Proactively cares for, maintains, and stocks exam rooms

 Safeguards and maintain compliance with HIPAA regulations and maintaining strictest confidentiality

 Other duties as assigned


 High school diploma. College degree preferred

 Ability to effectively interact with doctors, patients, and other staff members.

 Strong verbal and written communication skills

 Strong computer/internet knowledge

 Demonstrate knowledge of proper, safe, efficient usage of office equipment

 Superior command of English language in writing and communication

 Professional in appearance, organized, and prompt

 Must be punctual, efficient, and detail-oriented

 Excellent telephone and communication skills

 Some level of practice management software experience strongly preferred

 Respectful of all privacy requirements for HIPPA and also all personal information

 Some level of experience with medical, vision, workers compensation insurance, strongly preferred

Working conditions

 Frequently exposed to noise and a regular flow of people around the office

 Frequently assigned to changing priorities

 May be required to work overtime and/or Saturdays

Physical requirements

 Ability to stand, walk, sit, use hands, reach with hands and arms, speak and hear; may occasionally be asked to lift up to 15 pounds

 Normal physical mobility that includes movement from place to place
