We’re looking for a friendly, up-beat, and professional Receptionist to join our team. The Receptionist will be responsible for representing Coordinated Resources Group (CRG) when interacting with peers and those who do business with the Company. This position plays a critical role in the organization by acting as the primary face of the company when individuals call-in and helps create a positive workplace for other employees when they walk through the door. It is the responsibility of the Receptionist to give a friendly, professional and positive impression to peers, clients, prospects and vendors. This position supports the organization both internally and externally. As the first point of contact for many of our clients, vendors and prospects, the individual in this position will be expected to deliver the highest level customer service possible. The Receptionist must exercise confidentiality when handling sensitive, internal documents.

Education and Qualifications:

  • High school diploma or GED required or equivalent work experience

  • 2+ years of administrative experience

Skills:

  • Friendly to staff and welcoming to the public

  • Proficiency with Word, Excel, and Outlook

  • Microsoft Dynamics experience preferred

  • Experience with health & wellness organizations a plus

  • Effective verbal and written communication skills

  • Excellent problem solving skills

  • Strong customer service and team orientation skills

  • Initiative and motivation to work independently

  • Strong organization and time management skills

  • Attention to detail

Duties:

Administrative:

Reception – Greeting guests and vendors who come into the office and answering telephones.

Incoming & Outgoing Mail – Process and distribute all mail.

Office Supplies – Keep track of supplies and order when necessary.

Travel Arrangements – When travel is necessary the Receptionist may make the travel arrangements including, but not limited to airfare, hotel and/or car rental.

Carrier Day – Schedule carriers that come to these specific days for educational purposes for the staff. Maintain a rotating schedule so that each carrier has the opportunity to come to CRG.

Office Cleanliness – Responsible for keeping the kitchen, office supply cabinets and conference tidy and organized for staff, clients and others who enter the workplace. After lunch events, carrier days and other meetings, it’s critical of the Receptionist to ensure that the office looks presentable and in good condition.

Policies and Procedures:

Office Protocol – Responsible for ensuring we maintain HIPAA compliance by closing and locking up file cabinets upon closure of the office. Making sure lights are out and door is locked upon departure. Ensure the office remains clean and orderly. This includes the file cabinets, kitchen area, conference room, etc.

Common Forms – Ensure that generic company forms and information remain up-to-date. Also, communicating and notifying any major changes to staff or others as requested.

Other:

Commissions – assist with commission accounting; data entry, accuracy and monitoring any lapses or gaps in commission payments more than 60 days

Filing – keep all electronic and paper folders up-to-date.

Other – Perform similar and comparable duties as requested.

Salary & Benefits: $12-$15 /hour (based on experience) + benefits + potential for bonuses

Special Working Conditions:

General office environment. Work is performed within an office setting and is generally sedentary in nature, but may require standing and walking for up to 15% of the time.
