Immediate opening for a full-time, long-term position in a fast-paced, highly successful commercial real estate brokerage office. (Multifamily) This individual will be preparing purchase / sale agreements, opening escrow, reviewing title reports, preparing and managing due diligence files, preparing weekly activity reports, and general coordination of office activities. The ideal candidate will be self motivated, highly organized, and have strong time-management skills.

Key Responsibilities

  • Prepare listing agreements for properties
  • Prepare, edit, track changes and redline legal contracts (purchase / sale, listing agreements)
  • Manage property related books and records and all relevant due diligence items
  • Manage and track milestone events in escrow timeline of properties in escrow
  • Coordinate and track the receipt and delivery of all due diligence materials with clients and third parties
  • Prepare weekly marketing activity reports on listings for clients
  • Manage and maintain daily weekly activity calendar with meetings and calls for advisors
  • Plan and manage marketing activity calendar for properties
  • Prepare weekly activity reports for the team/advisors
  • Manage multiple transactions / escrows simultaneously
  • Interact with clients, escrow, title, and third-party organizations

Other Duties

  • Have a can-do attitude and willingness to help the team
  • Assist the president with his personal properties
  • Assist with company parties/events
  • Assist with hiring/training new associates
  • Assist accountant with bi-weekly bills/invoices
  • Assist accountant with managing the office and HR duties
  • Assist accountant with yearly insurance
  • Assist with training new associates
  • Communicate local office policies/procedures as appropriate on behalf of management under the guidance of the HR Departments (i.e. dress code, attendance, etc.)
  • Oversee marketing, escrow and underwriting departments
  • Assist with ordering office and tracking office supplies
  • Assist in other departments if help is needed

Job Requirements

  • Minimum 2 years with direct commercial real estate experience
  • Minimum 2 years experience processing escrow files and or in a brokerage office
  • HS Diploma, College degree preferred
  • Real estate paralegal background preferred
  • Strong verbal, and writing communication skills
  • Attention to detail a must
  • Must be able to work independently with minimal supervision
  • Strong organizational skills with the ability to multitask in an environment of changing priorities
  • Proficient in MS Office applications – Word, Excel, Outlook, and Gmail
