Position: PROGRAM ASSISTANT (PA), Part Time (15 hrs/wk)

CoachArt seeks a Program Assistant who is able to demonstrate a commitment to CoachArt’s mission by serving as the Assistant for CoachArt’s Los Angeles Program Managers who supports the region of Los Angeles and ensure this region’s families and volunteers are provided with opportunities to engage with the CoachArt community. The Program Assistant position will be tasked with the opportunity to provide community support through leading high-quality CoachArt programming, with an emphasis in leading group art and athletics clubs for students ages 5-18-year-old. CoachArt’s Program Assistant will have the opportunity to help hundreds of children with chronic illness engage in transformative art and athletic programming while supporting obtain the mission and goals.

PRIMARY RESPONSIBILITIES

This position will report to the Los Angeles Program Manager. This role will have a bi-weekly goal cycle that will rotate the primary responsibilities (not limited to the tasks below):

CoachArt Club Responsibilities:

  • Create and facilitate CoachArt Clubs that provide transformative arts or athletics programs

  • Emphasis: Art Clubs (ex: drawing, painting, photography, arts and crafts, etc.)

  • Alternative Options: Art Clubs (ex; sewing, cooking, dance, theater, etc.)

  • Support One-Day Group Lessons and Community Events within the region and in line with Program strategy (ie: quarterly, as needed, etc.)

  • Assist with curriculum research and development with an emphasis on adaptive and inclusive coaching techniques

  • Research low-cost/no-cost facilities for potential sports lessons. Assist with the booking process for sports events and activities.

  • Design event flyers/email campaigns and assist with student and volunteer recruitment for activities.

  • Conduct training for volunteers (as necessary)

  • Attendance tracking, student, parent, and facility evaluations and on-site lesson visits

  • Other duties include: general administrative tasks such as data entry, creating newsletters, confirmation letters, office organization, and answering phone calls.

Student and Family Support

  • Support Los Angeles Program Manager with Student Intake Process

  • Provide support to families within and around their home community and throughout matching process

Volunteer Support

  • Assist Program Manager with regional matching for in-home lessons

  • Assist with volunteer communication within the region

Partner Support

  • Assist with the regional partner relationships and identify new opportunities in line with program vision

Team Support

  • Help support the annual vision, growth metrics and goals of the program

  • Assisting Program Manager withSalesforce.complatform to assure transparent and useful information related to progress on key pipelines for partnerships, recruitment, and job transitions

Minimum Qualifications:

  • Associate’s degree required or equivalent academic experience

  • Knowledge of Salesforce, or other CRM database preferred

  • Proficiency in computer systems, preferably Mac, and the Microsoft Office Suite

  • Proficiency in Google Apps / Google Drive

  • Comfortable with multi-tasking and virtual work environment

  • Willing to travel and work flexible hours including weekends and/or evenings

  • Must be willing to work Saturday and Sunday mornings

  • Must pass a criminal background check

Desired Experience:

  • Bilingual English/Spanish preferred but not required

  • Education or work experience that can be articulated as relevant to core responsibilities

  • Knowledge of Los Angeles-Area with an emphasis of the Los Angeles community and demographics

  • Artistically Inclined
