Job Purpose Statement

The Payroll Supervisor is responsible for daily payroll activities in accordance with payroll guidelines and legal requirements. Assist the Payroll Manager in planning and developing systems and procedures to improve the operating quality and efficiency of the department. The individual supervises staff in accordance with company policies and procedures. In partner with the Payroll Manager is responsible for hiring, training, and coaching team members.

The Payroll Supervisor must demonstrate knowledge and expertise in their departmental discipline including lean and six-sigma manufacturing principles, departmental strategy development and execution, and state-of-the-art departmental technology. The position requires excellent focus, high energy and enthusiasm, forward thinking, strong analytical capability, excellent problem solving, the ability to manage change, solid execution and a commitment to help the company meet financial objectives and exceed customer expectations.

Essential Duties and Responsibilities:

  • Prepares and executes accurate and timely processing for multi-site and multi-state payroll
  • Partner with Payroll Manager to analyze, define standards and document business processes and problems. Develop solutions to enhance efficiencies including partnering with cross-functional teams to achieve required results
  • Maintenance of highly confidential and sensitive payroll information, including serving as back-up for other team members for vacation and / or high volume work efforts
  • Assist in the development, analysis, and preparation of reports, metric and dashboard within the department to drive change and improve payroll processes
  • Partner with Payroll Manager for staff scheduling to include: work assignments/rotations, employee training, employee vacations, employee breaks, overtime assignment and back-up for absent employees
  • Primary point of contact for “Admin” payroll processing and adjustments
  • Assist with annual preparation of W-2 statements ensuring accurate year-end processing cutoff
  • Participates in internal / external audits including governmental compliance
  • Ad-hoc and standard reporting for HR and Finance (month-end, quarterly and annual)
  • Serves as back-up for the Payroll Manager with ability to handle all aspects of payroll activities
  • Assist with various audits and financial reconciliations
  • Other duties as assigned

Required Education and Experience:

  • Bachelor's Degree in Business Administration – Accounting or Finance
  • 4 – 6 years of payroll supervisory experience in high volume payroll processing
  • Experienced in ADP software (including ADP Report Writer) required
  • E-1 (JD Edwards) helpful, but not required
  • Exceptional PC Skills – Excel and Word required
  • Strong understanding of payroll taxes and pre-tax and post-tax deductions and have multi-state payroll experience
  • Strong attention to detail – extremely organized and strong problem solving and analytical skills
  • Proactive and a self-starter; able to recommend best practices
  • Ability to deal with and manage multiple projects
  • Proven ability to lead and develop people

  • Ability to read and interpret accounting and financial reports
  • Work requires willingness to work a flexible schedule. Minimum travel (5-10 percent).
