The Receptionist will be an integral member of the BZAM Support Office and Administrative team, where they will be the face of the company, adding to the professionalism of the corporate office by bringing the highest level of expertise in administrative skills and demonstrating a superior level of customer service. The Receptionist will report to the Executive Assistant and be a part of a dynamic team that provides quality service to internal and external clients. The Receptionist will display their customer service approach in their day-to-day activities and will be a key contributor to the success of the office by providing excellent administrative support to all teams. The successful candidate will be someone who has worked in corporate environment before, and can handle themselves in a professional manner, all while being the face of the company.

Ø Maintain safe and clean reception area by complying with procedures, rules, and regulations;
Ø Maintain continuity among work teams by documenting and communicating actions, irregularities, and continuing needs;
Ø Direct visitors by maintaining employee and department directories;
Ø Manage reception desk by answering and screening calls;
Ø Handle incoming and outgoing mail, including couriers; sort incoming mail, sign for packages, schedule pick-ups, and stuffing envelopes;
Ø Book meeting rooms and catering for an meetings and events (internally and externally);
Ø Work with building managers for tenant services as needed;
Ø Maintain databases, records, confidential files and other related information for department needs; enter, edit, and retrieve data;
Ø Maintain security by following procedures; monitor logbook and issue visitor badges;
Ø Monitor the appearance of reception area, all boardrooms and general areas of office; tidy up as necessary, replenishing brochures, cleaning dirty dishes and attending to plants and floral arrangements;
Ø Manage office food and beverage orders and inventory;
Ø Assist administration team with organizing corporate events and celebrations;
Ø Order office supplies and maintaining stock of supply room;
Ø Arrange for service of office equipment (copiers, telephones, etc.);
Ø Assist with clerical duties including faxing, copying, and organizing/maintaining files;
Ø Provide administrative support to the Executive Assistant as needed; and
Ø Other duties and projects as assigned.
WHAT YOU BRING:
Ø Completion of High School Diploma or GED;
Ø Good understanding of office management systems and procedures, including filing and recordkeeping;
Ø Strong knowledge of basic bookkeeping principles;
Ø Familiarity of general office equipment (i.e. fax, copier, printers, etc.);
Ø High level of proficiency with general office applications (i.e. MS Office Suite, Apple/IOS, and comfortable learning new applications as required;
Ø Well-developed research and reporting skills, communication skills and typing skills;
You Are PROFESSIONAL AND POSITIVEwith an outgoing attitude and a cheerful disposition. You have high standards of conduct, strong work ethic, and unwavering ability to maintain confidentiality and integrity.
You Are an EXCEPTIONAL MULTITASKER, with excellent organization, time management, planning and coordinating skills.
You Are COLLABORATIVE AND TEAM ORIENTED, capable of acting as a key office member who works well independently and cross-functionally. You are comfortable interfacing with various levels of staff, management and external stakeholders, while working in a fast-paced environment.
Ø 3 years’ experience working in a corporate reception position;
Ø Previous experience in customer service considered a strong asset; and
Ø Demonstrated experience communicating tactfully and professionally with the public, other employees and vendors.
