The University of Miami/UHealth Department of Information Technology has an exciting opportunity for a full time Business Systems Analyst 3 to work in Miami, FL.

The Business Systems Analyst 3 collects detailed data and provides analysis to assist in the development of technology plans and strategies that enhance overall performance, reduce costs, and increase efficiencies. The Business Systems Analyst 3 analyzes established operations, systems, methods, practices, and procedures to evaluate their effectiveness and ultimately make recommendations for improvements. Additionally, the Business Systems Analyst 3 integrates people, equipment, facilities, and other resources to improve work results, operating efficiency, effectiveness, and productivity. This incumbent assists in the design, delivery, and improvement of in-house software applications, training programs, and related courseware.

Core responsibilities:

  • Reviews, analyzes and triages application issues and cases. Creates and maintains detailed support documentation of ongoing projects, tests internal application releases, and performs periodic system maintenance.

  • Provides training for internal users.

  • Monitors system availability, working closely with system administrators and business systems analysts.

  • Recommends changes in development, maintenance, and system standards. Develops detailed action plan with goals and target dates and obtains necessary approvals.

  • Maintains ongoing communication and rapport with the management team regarding project activity.

  • Flowcharts existing processes versus improved flow. Prepares time and cost estimates for projects and proposals. Conducts research for best practice models and benchmarking.

  • Applies industrial and management engineering techniques, such as process designs, optimization models, forecasting methodologies, and chain management principles, to improve overall systems.

  • Analyzes existing flow of people, activities, and materials, employee work methods and utilization, policies and procedures, staffing levels, supervisory structure, space utilization, supply and demand optimization methods, forms, equipment, and computerized systems to design improved work systems.

  • Designs systems for production and inventory control in buying, storing, handling, and processing of materials and supplies. Designs facilities, management systems, and standard operating procedures.

  • Develops management control systems to aid in financial planning and cost analysis.

  • Improves productivity through the application of technology and human factors. Designs supply chain management standards across the university.

  • Conducts data collection to measure baseline versus improvement, before and after recommendations are implemented.

  • Creates formal presentations for projects and studies, including data collected, methodology used, results obtained, recommendations for improvement, and cost and savings involved.

  • Participates in continuing quality improvement activities.

  • Adheres to University and unit-level policies and procedures and safeguards University assets.

Department Specific Functions :

  • Maintains thorough records of procurement transactions/activities, the departmental technical and procedural documentation repository, department staff contact information, and the UReady emergency preparedness plan for all department units. Ensures all processes adhere to regulatory and organizational standards.

  • Serves as subject matter specialist on Box, Workday Procurement, and the Office365 productivity applications; - provides assistance and instruction to Law faculty and administrators Provides hands-on technical support to end users of business applications. Troubleshoots and/or escalates issues, and designs training and documentation to enhance user proficiency.

  • Coordinates onboarding and offboarding of members of the School of Law faculty and staff with respect to technology resources; communicates with appropriate personnel, working with the LawIT Manager for Computer Support and Services, coordinates appropriate acquisition, provisioning, deployment, and transitions of technology accounts, hardware, and resources.

  • Participates with other members of the LawIT leadership team in properly directing technology requests to either one of the LawIT units or one of the other IT @ the Academy teams, as appropriate, following up when necessary to ensure that requests have been successfully addressed; monitors the LawIT Help email account and ServiceNow incidents and requests from Law School personnel. Provides direct customer assistance, when appropriate.

  • Participates with the Director and other members of the LawIT leadership team in planning for comprehensive technology resources and services for the Law School community.

  • Contributes to the formulation of department-wide management and technical policies. Identifies opportunities for beneficial change and develops proposals to address such opportunities.

  • Liaise with other UM department personnel, including IT @ the Academy teams, Purchasing, Accounts Payable, Contract Administration, and Facilities Management as necessary to ensure excellent delivery of technology services to the Law School community.

  • Prepares and disseminates technology-related notices to the Law School community, maintains current information on departmental web pages, provides IT updates to Law School newsletters.

MINIMUM QUALIFICATIONS:

  • Bachelor's degree in relevant field required

  • Minimum 5 years of relevant experience required

  • Learning Agility: Ability to learn new procedures, technologies, and protocols, and adapt to changing priorities and work demands.

  • Teamwork: Ability to work collaboratively with others and contribute to a team environment.

  • Technical Proficiency: Skilled in using office software, technology, and relevant computer applications.

  • Communication: Strong and clear written and verbal communication skills for interacting with colleagues and stakeholders.

Any relevant education, certifications and/or work experience may be considered.
