Position Overview / Summary

The Assistant Practice Manager is primarily responsible for managing each practice assigned, as well as to assist with recruiting, medical staff and scheduling for each practice.  The Assistant Practice Manager works with the Practice Manager to maintain overall responsibility for the operations of his/her practices.

Essential Functions (Including, but not limited to)

  • Candidate lead generation, pre-screening, and appropriate follow up with physician / clinical provider candidates for designated services
  • Analyze applicant credentials and skill level
  • Serve as liaison between candidate, Operations Management team, Practice Managers, and Clinical Site Directors
  • Attend association meetings and physician training programs
  • Source candidates through Internet searches, physician job boards, email blasts, cold calling, and various other advertising campaigns
  • Actively participate in physician / clinical provider job fairs
  • Work closely with candidates to coordinator interviews, negotiate contracts, and initiate the medical staff appointment process
  • Fill out MHG/Hospital paperwork and applications completely and accurately
  • Attend hospital interviews with candidate and educate candidate on proper dress and presentation prior to meeting with hospital administration
  • Create and execute effective recruiting plans to manage the entire recruitment process
  • Coordinate, track and triage each step of the recruiting process
  • Assist in training, coaching and mentoring of other recruiting team members
  • Attend and actively participate in department meetings
  • As needed, assist scheduling team to meet shift coverage needs
  • Coordinate, plan and attend company recruiting events
  • Plan and execute recruiting updates to MHG colleagues, hospital administration and MHG clinical colleagues
  • Update job postings regularly on company purchased websites and job boards
  • Credentialing initial appointments
    • Prepare and send all initial applications and credentials for hospital membership and through each hospital specific process for Chicago and Florida Offices, sometimes helping with the Cleveland office
    • Performs verifications per current company protocol to include receipt of responses and follow up
    • Analyzes all information and documents received and makes decisions to accept, to initiate further investigation, or escalate review to manager
    • Prepares completed applications for review from quality review to review by Credentials committee
  • Receives and processes all requests for temporary privileges and additional privileges, ensuring regulatory, accreditation and organizational policy compliance. 
  • Complete thorough check of all items for credentialing prior to submitting to client hospital
  • Processes and communicates with physicians regarding expiring credentials and delinquent medical records
  • Compose monthly hospital schedules and send to client
  • Negotiate hourly rate with clinicians
  • Educate clinicians on scheduling protocols
  • Develop strong relationships with clinicians via phone and throughout recruiting process
  • Prepare the material and preform hospital orientations with clinicians
  • Field telephone calls in the office on a day to day basis
  • Assist with site visits and orientations for physicians if manager is not available
  • Ability to work under pressure, handle numerous interruptions without losing the attention to details of the task interrupted, be detail oriented, and have excellent cognitive and communication skills
  • After-hours on-call duties and other Operational duties as assigned

Job Requirements

  • Bachelor’s degree in Healthcare Administration, Business, or related field
  • Ability to work under pressure with multiple interruptions while maintaining attention to detail
  • Superior communication skills required
  • Excellent organizational skills and cognitive abilities
  • Proficiency with MS Office and ability to learn new software quickly
