Position Summary

General Summary/Responsibilities:

 The Operations Float provides clerical support and performs referral scheduling, referral acceptance duties and customer service activities. These duties include data entry of referral information; benefit verification, initial authorization of services, initial patient contact, and other duties as assigned.  Provide customer service to patients, physicians, and clinical staff regarding patient issues. Provide administrative support for patient care area.  Also, responsible for processing requests for service and providing appropriate staff to meet patient needs.

The Operations Float is also responsible for identified problem assessment, coordination, implementation and resolution.

Knowledge/Skills

Working Conditions:

Organizational Standards

       *  Processes all referrals for visits which include assignment and coordination of schedules of the staff to match needs of the patients per agency policy and procedures.

       * Will work flexible schedule to maintain flow of referrals.

            * Assists Supervisors with annual performance evaluations by giving input regarding time issues and communication issues as well as frequent and           multiple schedule changes.

           * Follows designated procedures involved in maintaining day to day operations of chosen scheduling system.

      * Participates in agency QA/Improvement activities, training, team meetings and teams/work groups.

      * Responsible for identifying patient care needs on all incoming referrals.

      * Assists with day to day operations of the referral department, including receiving and clinically evaluating data and establishing start of care date.

      * Responsible for transcribing physician orders, medication changes and discharges.

      * Works with all information pertaining to initial referral, patient status, and initial contact with patient.

      * Responsible to follow up on labs and the communication/documentation this requires.

      * Works with all information pertaining to current patient issues.

      * Responsible for assisting other patient care services staff to resolve patient issues.

      * Assists with processes to obtain and provide information about all current patients.

      * Demonstrates ability to effectively communicate with both internal and external customers to ensure quality customer service.

      * Responsible for accurate data entry of referrals including financial information.

         * Verification of Benefits for referrals received.

     * Responsible for support and back up of the CCC Clinician

     * Responsible for knowledge of current contracts and associated benefits.

     * Responsible for obtaining initial pre-authorization for all services and documentation of the authorizations including, but not limited to, communication regarding authorization follow up.

     * Responsible for appropriate cross training of other departments/tasks.

Essential Duties & Functions:

The incumbent is responsible for completing selected data and staffing all incoming referrals.  Also assists with day to day operations of the intake department, scheduling department and patient care services and is responsible for prioritizing patient care needs and staffing referrals accordingly.  He/she will work a flexible schedule to maintain workflow.    This position requires outstanding customer service skills, expert problem solving and resolution skills, and the ability to prioritize and complete positive outcomes for patients, physicians, and clinical staff involved.
