General Responsibilities

Under the general direction of the ECE Coordinator, the Early Care and Education Program Assistant provides, clerical, administrative, and outreach/enrollment support to Early Care and Education programs. This position will be full-time, working over 250 days per year and will be filled based on available funding.

Essential Functions/Other Functions

Essential Functions:
  1. Establish and maintain professional, effective working relationships with families, staff and community partners.
  2. Receive and screen telephone calls, electronic communication and in person visitors.
  3. Attend meetings in the community to share about our programs and create networking opportunities.
  4. Maintain office procedures, reports and filing system.
  5. Enter data into multiple database systems.
  6. Adhere to Program Performance Standards.
  7. Maintain confidentiality.
  8. Travel to various locations i.e. child care sites, home visits, community events.
  9. Support families in gathering all necessary paperwork for enrollment.
  10. Utilize a variety of documents to determine eligibility and complete in person applications. (new)
  11. Distribute outreach materials.
  12. Screen and process referrals.
  13. Maintain program enrollment waitlist.
  14. Plan and facilitate child activities at events.
  15. Provide interpretation services for families; translate materials.
Other Functions:
  1. Other duties as assigned.

Minimum/Preferred Qualifications & Skills

Minimum Qualifications:
  1. High school diploma or GED.
  2. Experience in an office environment that includes customer service.
  3. Experience using Microsoft office software including Excel.
  4. Bilingual in Spanish/English.
  5. Valid driver's license.
Preferred Qualifications and Skills:
  1. Experience answering multiple phone lines.
  2. Experience working in an Early Childhood program.

Working Conditions/Employment Requirements

Working Conditions/Physical Requirements:
  1. Office environment.
  2. Regular attendance during scheduled work hours that can include events in the evening and weekends.
  3. Ability to travel to multiple sites.
Employment Requirements - ESD job offer is contingent upon satisfying the following:
  1. Successful completion of a criminal history check and fingerprint check through the Department of Children, Youth, and Families.
  2. Successful completion of an initial health examination that includes screening for tuberculosis and assurance from an MD, Licensed Nurse Practitioner, or Physician Assistant that the employee does not, because of communicable diseases, pose a health or safety risk to the populations served.  The health examination is conducted at the employee's expense.
