General Responsibilities

Under the general direction of the program manager, the Bilingual Secretary I provides secretarial/clerical services to our Early Care & Education programs.

Essential Functions/Other Functions

Essential Functions:

  1. Receive and complete incoming and cyclical clerical work.
  2. Complete required reports and correspondence.
  3. Maintain and process fiscal reports, travel documents, purchase orders, and credit card transactions.
  4. Provide support services for conference and workshop activities, and support the work of Secretary II or Administrative Assistants to accomplish program and agency objectives.
  5. Follow routine office and fiscal procedures.
  6. Communicate effectively using tact, discretion and courtesy in interdepartmental and public contacts.
  7. Receive and screen phone calls and visitors.
  8. Route incoming mail.
  9. Respond to requests which can be resolved at a clerical level.
  10. Communicate effectively in Spanish using tact, discretion and courtesy in interdepartmental and public contacts.
Other Functions:
  1. File, organize and maintain orderly program workspace.
  2. Maintain supply of forms and office supplies.
  3. Other duties as assigned. 

Minimum/Preferred Qualifications & Skills

Minimum Qualifications:

  1. High school diploma or GED.
  2. One year recent clerical or customer service experience.
  3. Experience using Microsoft Office programs and other databases.
  4. Bilingual in Spanish/English.
Preferred Qualifications and Skills:
  1. Experience working in a customer service environment.
  2. Experience managing databases.

Working Conditions/Employment Requirements

Working Conditions:

  1. Office environment.
  2. Operate keyboard to accomplish required tasks.
  3. Perform stationary routine and repetitive functions for extended periods.
  4. Frequent sitting, stooping and bending,
  5. Ability to work flexible hours.
Employment Requirements - ESD job offer is contingent upon satisfying the following:
  1. Successful completion of a criminal history check through the Washington State Patrol.
