Key Responsibilities:
Event Coordination
- Input and maintenance of all Reserve data for all events including inquiries, tentative and definite. Includes customer contacts, event details, food, beverage, setup, service, directions, financials and event status
- Detailing function sheets with equipment needs and rental orders
- Distribution of function sheets to all internal departments assuring the most current information is received
- Confirming details with various departments as necessary
- Creation of captain’s packets for each event including staff sheets, equipment pulls, beverage pulls, signage, expo sheets, etc. as needed
- Assuring that captains are in receipt of packet
- Creation of buffet signage and printed menus as required for each event
- Preparing or sourcing event layouts
- Placing all necessary vendor orders such as ice, walkie talkies…
- Preparing and placing rental orders including updates on guest count and needs
- Assembly and upkeep of organized event files including all correspondence, orders, invoices, payments, proposals, function sheets, etc.
- Processing of certificate of insurance requests
- Updating function sheet and all departments with event guarantee/set
Sales
- Inquiry intake including all pertinent event information client contact, date, time, format, number of guests, location, etc.
- Preparation of proposals for events to be reviewed by Director prior to submittal
- Support sales initiatives through research, marketing interface, communications and sourcing
- Interface with marketing department on materials and promotions tracking to deadlines
- Reserve input of all contacts, sales calls, etc.
- Client walkthroughs of venue spaces with intent to close event
- On-site sales representation at events as scheduled
Financials
- Receipt and processing of all deposits including Reserve entry and RMS input
- Review of Reserve financial entry to assure accurately forecasted
- Update event files with all receipts
- Communicate with accounting on any needs, clarification, etc.
- Request and complete client refunds for overpayment, etc.
- Prepare final event invoicing for presentation to client and RMS input
Administration
- Receive phone calls for Director/Vice President communicating detailed and accurate messages
- Assist in scheduling meetings, appointments, travel, etc.
- Prepare all P-card reports on weekly and monthly basis
- Prepare expense reports on a monthly basis
Operations
- Attend weekly operations/production meetings
- Communicate all details of events at meetings assuring that all internal departments have updated and accurate information
- Interface with Operations Director and Managers to communicate event details accurately and complete all function sheets accurately
- Preparation and submission of staff requisitions
