Zebra Projects, Inc. is offering a unique and exciting opportunity to qualified candidates who would like to join our new Scottsdale, AZ office. The Office Administrator is motivated, reliable, responsible and organized. This role manages all the administrative needs of the office, staff and clientele. This involves being organized, managing priorities, anticipating needs, keeping accurate records and producing work of the highest quality in a timely manner.

Key Responsibilities:

  • Oversee and manage the general operations, administration, and maintenance of the office.
  • Assist with design, preparation, and maintenance of promotional materials (business cards, stationary, brochures, advertisements, signs, etc.)
  • Prepare client contracts, proposals, change orders, submissions, town approvals, permit docs etc.
  • Order and maintain office inventory, including supplies, equipment etc.
  • Organize and maintain contact database (clients, vendors, etc.)
  • Organize and maintain files/office records, Architectural library/resources and AEC project folders.
  • Schedule, manage, and coordinate business, educational and social events
  • Calendar management for Office and Principal
  • Ensure facilities are clean, orderly and safe
  • Answering phones, calendars, greet visitors and manage incoming/outgoing mail
  • Provide bookkeeping support as needed, including data entry, communicate with Finance team.
  • Identify inefficiencies & suggest alternatives for improvement (organizing supplies, sorting files, etc.)
  • Managing services within the office; coffee vendors, printers, shipping, cleaning staff
  • Creating a checklist and ordering forms; office supplies, amazon etc.
  • Overseeing guest in the office; greeting them, offering coffee or water, cleanup after
  • Coordinating office events, networking events
  • Booking Travel for staff who are unable to
  • Oversee reps coming into the office for library updates

Qualifications:

  • High School Diploma required. Associates or Bachelor’s degree preferred
  • Experience in an Architecture firm, law firm, construction business or similar is essential
  • Min. 2 years of office administration experience
  • Ability to organize work and meet deadlines
  • Experience with Accounting Software, Adobe Creative Suite, Microsoft Office Suite.
