Our receptionist provides full-time front desk coverage and general office and administrative assistance in support of various groups and individuals. Responsibilities
- Provides reception desk coverage; answers and transfers calls, greets and signs visitors in, sorts and distributes mail, orders office supplies, and coordinates daily lunch program.
- Provides administrative assistance to all staff, performing general office duties and assisting with certain facilities, communication, new employee orientation, and safety related activities
- Works closely with and schedules office related vendors such as restaurants, furniture and office suppliers, and coffee and food vending service providers.
- Schedules and coordinates logistics for meetings and corporate events; reserves conference rooms, arranges catering, and provides meeting support.
- Maintains filing and performs data entry.
- Uses card-key badging system to create badges and assist with employee updates.
- Assists with company office move planning, coordination, and new office setup.
- Reconciles company credit card transactions and maintains expense records.
- Coordinates company events, including blood drives, flu shot clinics, holiday fundraisers, etc.
- Provides support for company safety protocols.
- Creates training and process documentation.
- Assists with coordinating travel arrangements including hotel reservations, airfare, and rental cars through preferred travel agency, as needed.
- Evaluates and recommends improvements in procedures, systems, and record keeping.
- Performs project management and various other administrative tasks, as needed.
Qualifications
- 3+ years of increasingly responsible clerical experience in a professional environment.
- College coursework or degree preferred.
- Experience in general accounting, business, human resources, or project management experience is a plus.
- Ability to communicate effectively, in English, with personnel at all levels of the organization.
- Ability to establish and maintain cooperative, positive, and effective working relationships.
- Ability to work without direct supervision and to apply sound judgment in making decisions in accordance with established policies and procedures.
- Excellent listening and customer service skills, in person and on the phone.
- Ability to protect confidential and proprietary information and to set professional boundaries.
- Excellent written and verbal communication skills.
- Proficient in Windows, Microsoft Word, Excel, and Outlook.
- MS PowerPoint and SharePoint knowledge is preferred.
- Good problem-solving and conflict resolution skills, ability to effectively guide and assist others.
- Ability to learn new systems.
- Ability to coordinate across organizational boundaries to complete projects or tasks.
- High attention to detail and ability to multitask.
- Must be able to work in-person from 7:30AM to 4:30PM, Monday through Friday.
