Assist Environmental Health and Safety Program Manager with front office support (includes: data entry on excel spread sheets and access databases).
Perform ad hoc responsibilities in covering the department’s main phone line, triaging incidents and inquiries to EHS personnel for response, and creating work orders using the MSK work order system.
Initiate incident reports in the EHS Information System.
Manage the department’s general email inbox and fax inbox.
Manage front office activities (meeting and greeting clients and visitors) directing them to the correct EHS staff and conference room(s).
Enter bi-weekly staff time information into the internal timekeeping system.
Assist with management of the VP of Environmental Health and Safety messages and calendar.
Assist with special departmental projects.
Assist with the entry of purchase order requisitions using the online MSK requisition system.
Assist with onboarding/offboarding of staff.
Manage office supply inventory.
Ensure office equipment is functioning properly and warranties are active and up to date.
Schedule meetings, conference calls, go to meetings,
Handle interoffice mail, drop off UPS mailings at UPS location.
Associate degree preferred plus 2-4 years of experience working as an administrative assistant.
Experience using Microsoft Office, scheduling meetings in Outlook, and creating excel documents to organize and analyze data.
