Job Description

What you will do:    
  • Manage the day-to-day operations and administrative duties of the Legal Department, including managing hectic and complex calendars and deadlines with multiple parties across multiple time zones;   
  • Manage and execute timely delivery of assigned legal tasks or services;   
  • Take notes, prepare correspondence, reports, and datasheets;   
  • Process and track requests for legal review, manage workflow, and juggle priorities efficiently;   
  • Assist attorney(s) and paralegal(s) with a variety of task as needed related to the litigation process;    
  • Set up and input electronic files for new and ongoing matters in compliance with current department policies utilizing the company’s various systems and electronic document software system;   
  • Oversee management of electronic files and other internal data management, including following up on drafts, e-sign for signatories, and updating our proprietary systems;   
  • Prepare, review, edit, and proofread a variety of documents;   
  • Manage a high volume email account for the department; responsible for keeping relevant Legal team members apprised of all correspondence and telephone calls;   
  • Maintain litigation calendar;   
  • Perform a variety of data entry tasks including entering data, maintaining data, and pulling reports from matter management software.   
  • Assist with maintenance of software used to intake, monitor, and report on matters concerning the litigation team and other business units.   
  • Enhance the legal team’s effectiveness by alerting team members of issues requiring their attention; maintaining contact with internal business units and outside business partners; contributing information to the team for both case review and project management; completing special projects; and providing secretarial support;   
  • Perform executive administrative duties as needed (i.e. scheduling travel, expense reporting, and coordinating daily calendar); working and coordinating with executive assistants across teams on various aspects, including conferences and off-site meetings;   
  • Assist department attorneys with tracking and reporting Continuing Legal Education credits and recertifying information for regular bar renewal documentation.   
  • Assist with maintenance and verification of legal spend tracking and reporting.  
How you will grab our attention:    
  • Associate’s Degree or equivalent preferred.    
  • Legal administration work experience may be accepted in lieu of formal education requirements.   
  • Notary Public (ability and willingness to become eNotary)   
  • 2+ years of experience as a legal administrative assistant in a law firm or legal department.   
  • Experience with Trello, Google forms, and Google document generators is a plus   
  • Strong understanding of litigation and civil procedure.   
  • Will need to be proactive and able to identify issues, legal risks, and potential liabilities in order to report these to the corporate attorneys.   
  • Ability to work well under pressure, as our corporate setting is very fast-paced.   
  • Exercises good judgment and discretion in decision making.   
  • Strong organizational skills and computer skills (Google Suite, Microsoft Word, Excel, Outlook, and database management) required. Familiarity with matter management platforms strongly preferred.   
  • Ability to work autonomously with minimal supervision required.   
  • Demonstrated experience with all manner of corporate documents.    
  • Excellent follow-through and problem-solving skills.   
  • Strong interpersonal and collaboration skills.   
  • Discretion and ability to function in a highly confidential environment.   
  • Analytical thinking, strong organizational skills, and ability to multitask.   
  • Ability to work with business and legal partners across multiple time-zones.   
  • Strong verbal and written communication skills required.   
  • This role is technology-intensive and the candidate must possess the ability to work with spreadsheet and accounting programs, Internet-based filing and docket systems, computerized legal research databases and word processing applications, and be adaptable to learning new software.
