HR Coordinator

HR Solutions Coordinator provides a variety of administrative and analytical services in support of the Corporate Operations Department. This includes serving as the "go-to" person for day-to-day inquiries related to the US health and welfare benefit plans, leave of absence and general HR processes & policies. This role also provides local coordination and support for communication of programs, event planning, HRIS (Workday) administration, and pre- and post-hire talent acquisition activities.

Administration

  • Manage and process HR transactions including: onboarding, new hire terminations, job and personal data changes, organizational changes, employee verifications and background checks
  • Create and maintain employees' personnel files in compliance with federal and state standards
  • Ensure the integrity of employee master data in Brother's HRIS system
  • Manage the Talent Marketing offer process once handed to HR Solutions, including creating and routing offer letters for approval
  • Serve as a team resource for resolving HR processing issues and concerns where needed
  • Provide administrative and technical support for the administration of the company's US health and welfare plans, HR, and on-boarding programs
  • Report on and manage workers compensation claims with special focus on coordination with other leave options
  • Create reports as requested

Customer Service

  • Provide support to incoming calls/emails/requests from internal

customers (i.e., employees, managers, HRBPs, COE's) to answer questions,
provide explanations, resolve issues and respond to inquiries related to
HR employee programs, policies, practices and procedures

  • Serve as the primary contact for all new hires, terms, and active employees for benefits questions and issues relating to health and welfare and leave administration; this includes but is not limited to: eligibility, qualifying life events, new hire benefit orientations, benefits at termination, COBRA and open enrollment


Process Improvement

  • Document process changes, such as process maps, team structure charts, SOPs, and detailed job aids
  • Devise ways to continuously improve HR processing operations and identify system/process inefficiencies


Event Planning Support and Coordination

  • Meet with key stakeholders to plan out event details (i.e., location, food, support materials, staff, and cleanup)
  • Ensure proper communication is created and tailored to the location to include handouts, e-mails, and personal invitations
  • Manage and oversee events on the day of the event, including: problem-solving, welcoming vendors and employees, directing event set up, communication with staff, organizing vendors and take-down of support materials

Requirements:

  • Minimum of 4 years HR Shared Services or HR Operations related experience with US health and welfare benefit plans, leave of absence, general HR processes, policies and HRIS system knowledge
  • HRIS Systems and reporting capabilities (Workday preferred)
  • Knowledge of employment and benefit laws
  • Bachelor's degree or equivalent experience
