Operations Assistant

Overview: Track and manage production of advertising projects for clients while working as liaison between clients and representatives.

Qualifications:

  • Organized self-starter

  • Detail oriented

  • Capable of maintaining multiple client accounts simultaneously

  • Effective communicator

  • Capable of multitasking in regards to projects and clients

Job Responsibilities:

  • Set up appointments with clients and prospective clients

  • Maintain up to date calendar of meetings and projects for clients

  • Conduct spec ad research on prospects on a monthly basis

  • Manage front desk traffic and incoming calls as needed

  • Maintain spreadsheet system that tracks prospects throughout steps in the company’s pipeline and selling systems.

  • Assist in the assembly of client presentations and media kits

  • Track all production services for clients through email and phone correspondence

  • Manage and facilitate client and production development relationships throughout life cycle of campaign

  • Utilize system software to track projects and relay updates to clients

  • Maintain up to date records of projects through Microsoft Excel and system software

  • Send copy reminders for individual project deadlines

  • Manage database and compile data for prospecting activities

  • Learn and utilize Magazine Manager software and CMS

  • Track progress throughout lifespan of projects as needed by clients

  • Assist with accounts receivable and collection calls

Compensation/Benefits:
