Job Description

Position Summary: The Administrative Assistant II fulfills the mission of the Catholic school by fulfilling duties designated by the administration in addition to assisting students, parents, and faculty with questions or issues that may arise.

Essential Job Functions

Duties to the Principal

·         Receive faculty requests for days they will not be in attendance.

·         Schedule appointments, meeting dates and times as designated by the principal.

·         Keep calendar of the principal up to date.

·         Greet principal appointments; inform principal of appointment arrival.

·         Contact and set up interviews for potential new employees.

·         Prepare packets for interviews of potential employees including resumes, transcripts, Diocesan applications, written question response, etc.

·         Prepare copies of appropriate interview questions.

·         Prepare a report to the principal of new students to Pius X and those that have left, including where the student has come/gone. Must be prepared by the last school day of each month.

·         Verify all teaching certificates are on file and have not expired.

·         Verify staff files contain a current teaching certificate, resume, official transcript (including all classes taken).

·         Report to the principal any out of date teaching certificates or any other file information that is not current.

·         All other duties as assigned.

Duties to other Administrators

·         Perform clerical duties for other administrators, as requested. This may include developing reports, filing information, creating mailings, and typing correspondence.

·         Perform clerical duties for the Activities Director, coaches, and sponsors. This may include creating and sending rosters to opponents, collecting student physical forms, preparing reports, or other information as needed by the Activity Director, coaches, and/or sponsors.

·         All other duties as assigned.

General Duties

·         Provide students with temporary lanyards, as needed.

·         In cooperation with other administrative assistants, make copies/scan and send documents as needed for administration and staff members.

·         Files records of teachers, as needed.

·         Make and receive calls, take messages, and direct calls.

·         Communicate effectively and respond to messages in a timely manner.

·         Assist with all office duties, as needed.

·         All other duties as assigned.

·         High School diploma

·         Minimum of 3 years’ experience in an office setting; educational office work preferred, but not required.

·         Support and uphold the philosophy of Catholic education and the mission of the school.

·         Act as a witness to Gospel values by modeling the teachings of the Catholic Church.

·         Support and adhere to codes of conduct and policies and procedures of the school and Diocese.

·         Maintains confidentiality regarding school matters.

Working Environment

The working environment will be an office setting. The noise level will be moderate but may raise to loud when students are in hallways or in the office for an extended period of time. This position will sit, stand, stoop, and use extremities to work.
