A luxury jewelry brand is looking for an Office Assistant. Responsibilities Maintain all hard copy and digital records for ongoing projects Assist in creating and distributing meeting recaps. Deliver and pick up business related correspondence in the immediate geographic area Handel repairs files Work with executive administrative team to create spreadsheets and presentation information for trade shows Answer phone calls and redirect them when necessary Manage the daily/weekly/monthly agenda and arrange new meetings and appointments with customers Follow up on shipments in and out of the country Prepare and disseminate correspondence, memos and forms File and update contact information of customers in Fantasy, internal operating system,suppliers and external partners Support and facilitate the completion of regular reports Develop and maintain a filing system Check frequently the levels of office supplies and place appropriate orders Make travel arrangements Document expenses and hand in reports Undertake occasional receptionist duties Pay bills and keep track of payments Requirements Familiarity with office organization and optimization techniques, learning internal operating system High degree of multi-tasking and time management capability Excellent written and verbal communication skills Integrity and professionalism Proficiency in MS Office Employment Type: Full Time Years Experience: 1 - 3 years
