Job Description

JOB DESCRIPTION

The Grants Manager is a member of the Development Team and is a liaison between internal and external stakeholders. The Grants Manager works closely with the Grant Writer to ensure research, prep work, submitting, and managing of grant proposals/reports that support organizational goals and meet funder guidelines and criteria are completed. This position manages the grant process, engages in compliance reporting, and supports special project initiatives. This position requires strong writing, data analysis, program budgeting, and project management skills, with an emphasis on outcome measurement.

Key Responsibilities:

  • Managing grant proposal development, submission, and tracking—preparing and organizing materials;Researching new funding and business development opportunities on a local, state, and federal level, including private, public, and corporate funding streams;
  • Maintaining and building relationships with funders and other strategic partners on a local, state, and national level;  
  • Collaborating and managing the completion of drafting proposals/LOIs, grant application narratives, and budgets with the development team, program staff, finance, and the executive leadership;  
  • Submitting grant applications through online portals, and maintaining a list of passwords and other standard organizational files;
  • Maintaining a master calendar of grants and prospects and all associated files and correspondence.  
  • In addition to these responsibilities, performs other activities as assigned and required.

Job Deliverables

  • Monitor program budgets and expenditure and coordinate with the Program Manager and ensure compliance and progress on outcomes. .
  • Maintain records of all payments, manage all change requests and perform research on all grant issues, and prepare monthly records for all grant-related activities.
  • Organize and manage grant records, including tracking deadlines and deliverables, expenditures, and reporting requirements. 
  • Collaborate with staff across the organization to ensure compliance, identify roadblocks or pain points, and maintain communication with funders throughout the proposal process and grant period.

Team Collaboration Responsibility

  • Work in partnership with the Grant Writer and the Director of Development - Establish grant proposal and reporting calendar;
  • Collaborate with Grant Writer - Kickoff meeting with executive, finance, and program staff to review common understanding of proposal requirements and grant deliverables; . 
  • Collaborate and establish a process with Grant Writer on Asana for grant deliverables, tasks, and reports key to outcomes and impact;
  • Serve as liaison between the development department and others within YR to ensure seamless transfer of knowledge and needs;
  • Serve as liaison between development and communications department to set up a content schedule (led by Communications) that ensures a mix of programming, impact, and outcomes news to complement development/donor-related outreach;
  • Work with the communication team, providing them with information to let the public know what's happening, exciting highlights, and publicly thank funders for the support;
  • Inform partner organizations of grant;
  • Provide partner groups with grant details and deliverables, including MOUs or other partnership agreements; 
  • Facilitate partners’ meetings to celebrate the grant award, review each organization's role, agree on reporting deadlines, and finalize start-up plans. 


Job Requirements: 

  • Bachelor’s degree (or 3-7 years of work experience with nonprofit administration, grant writing, or fundraising);  
  • 3+ years of experience in fundraising, grant writing, or grants management;  Demonstrated analytical and persuasive writing skills experience as well as superior editing skills, including the ability to convey complex information in a clear manner to a diverse audience;  
  • Strong administrative skills and self-motivated with the ability to set priorities and manage multiple tasks under minimal supervision in an effective and efficient manner; 
  • Experience with donor development/CRM software systems a plus; 
  • Familiarity and experience working with national, governmental and Bay Area/Chicago funders a plus;  
  • Ability to work under pressure and respond to deadlines without sacrificing quality; and  
  • Demonstrated interest in the mission, vision, and values of YR Media. 

Physical Requirements: This position requires the ability to occasionally lift 25 pound boxes to a height of 3-4 feet.
