JOB POSTING: Administrative Assistant
POSITION TYPE: Part Time
WORKING HOURS: Monday to Friday - 20 -30 hours per week
JOB POSTING CLOSING DATE: December 10, 2021.
XYNYTH Manufacturing Corp is a 35 year old company that manufactures, markets and distributes icemelting products to the commercial and retail industries.
• Completion of secondary education (high school)
• Some post-secondary education preferred
• 1 - 2 years of office and administrative experience
• Experience using a multi-line phone system would be an asset
• Strong communication skills, both written and oral
• Ability to communicate effectively with people
• Strong organizational skills and highly motivated with the ability to meet multiple deadlines in a fast-paced environment
• Strong computer skills, (all MS Office products a must)
• Good touch typing skills
• Ability to function in an organized yet unstructured environment. Must work well independently, as well as part of a team
• Detail-oriented with the ability to multi-task and deal with issues where necessary
• Answer phone calls on a multi-line phone system
• Communicate with sales agents/reps on a regular basis
• Facilitate agent/rep needs and requirements,
• Assist in the creation, design and implementation of various promotion ideas
• Assist in the organization and preparation of our trade show marketing plans
• Assist in providing customers with price lists, marketing materials, and samples
• Assist customers with pre-season early bookings
• Provide customers with sales solutions for their DSR’s (Distributor Sales Reps)
• Help existing customers with their general sales needs
• Process the daily mail to go out
• Assist in entering the customer’s booking or regular order into our system,
• Filing, scanning, and administrative tasks
• Responsible for helping with coordinating the shipments of all orders from our production facilities and warehouses, both incoming and outgoing, including preparation of all appropriate paperwork
• Responsible for issuing purchase order and / or production orders, as directed by Inventory Manager
• Responsible for managing our trucking database of carriers and lane rates
• Provide rate quotes to our regional sales executive
• Grow and develop new freight vendors, both TL & LTL to meet our corporate freight strategies
• Issue freight purchase orders
• Other duties as assigned by their supervisor
