Job Opening-Accounts Coordinator
Xxentria International’s office in Fremont, CA is looking for a full-time Accounts Coordinator to grow our operations in the United States. Xxentria produces metal composite panels for the transportation industry and has been in business for over two decades supplying major trailer manufacturers. This office will serve as a sales office, focused on sales, customer service, and logistics. We are currently seeking a driven, experienced Accounts Coordinator to join our team full time. An ideal candidate would be self-motivated, able to complete projects in a timely manner, and possesses the ability to thrive in an environment with minimal oversight in day-to-day tasks.
Job Description:
- Provides data entry into Xxentria’s internal documents, most specifically excel. Inputs data and creates reports from excel spreadsheets or other documents needed by various departments including logistics, accounting, and sales
- Provide administrative support in a small team environment
- Handles a small volume of phone calls and interacts with management, team members, and external partners in a professional, effective manner
- Reviews and processes customer orders and pricing
- Checks and negotiates freight charges with carriers, forwarders, and third-party partners.
- Manages import and export processes, including bookings, shipping instructions to carrier, customs filings, and other shipping and supporting documentation.
- Maintains effective communication with sales and customer on status of customer material
- Monitors shipments to ensure customer requirements are met
- Reviews improvement opportunities, reporting requirements and participates in special projects.
- Lead (train, assign, manage) other administrative employees
- Serve as Office Manager for small team Fremont and New Jersey
- Provide basic IT support to staff and maintain office systems
- Organizes weekly staff lunch
- Responsible for participation in general administrative duties (copying, filing, faxing, archiving)
- Maintain office safety and security procedures
- Maintain the general appearance of all common areas of the office, including the reception area, conference rooms, open work areas, and kitchen/breakroom (including loading and unloading the dishwasher).
Qualifications:
- Bachelors degree or higher required.
- 4 years experience in related field
- Ability to identify problems and discrepancies, independently perform research and analysis of causes, and implement corrective actions
- Ability to evaluate priorities, multi-task accordingly, and possess strong analytical and problem-solving skills
- Ability to work independently and successfully with minimal oversight
- Work successfully in a team environment on-site and remotely
- Highly detail oriented and excellent organizational skills
