Job Description

Status:  Full Time – Exempt

Reports To:  Director of Field Operations and Customer Care

A.        Purpose and Scope of Position

The Field Operations Manager position will be responsible in supporting the Regional Sales Franchise, which includes Customer Service and the Regional Vice President (RVP) of Sales, in the management of territory obligations as assigned by the organization. This position interacts with Xtant Medical employees as well as external customers, vendors, and distributors. 

B.        Organizational Relationship 

This position reports directly to the Director of Field Operations and Customer Care, and indirectly to the RVP of Sales.   This position will provide additional support to RVP’s, other team leads, supervisors, and departments as requested under the direction of his or her immediate supervisor. 

C.        Duties and Responsibilities

  • Conduct inventory audits at End-User facilities or Distributor locations to ensure proper level of inventory
  • Build territory plans in conjunction with RVP to manage and reconcile inventory, and reduce pending purchase orders
  • Provide post-audit reconciliation to ensure system data accuracy and reconcile findings with Distributor and hospital, including TUR management and expiring products
  • Audit consignment agreements for geography to ensure compliance, collection of purchase orders, and complete documentation for new consignment agreements 
  • Support Sales through coordinating product and compliance trainings, and sending samples/literature  
  • Collect customer feedback and facilitate the “specials process” for delivery of specialty instrumentation 
  • Facilitate new agent contracts, renewals, and onboarding of new Distributors for assigned geography
  • Manage collection of Reseller forecasts and supplies to operations 
  • Develop and maintain an advanced understanding of Xtant Medical products and promotion of franchise through communication to agents
  • Communicate with agents regarding sales incentives, training programs, sending samples/literature, and promotion of new product introductions
  • Understand inventory tracking and required environmental conditions for Xtant Medical products
  • Coordinate Field Inventory Transfers and Field Inventory Returns as necessary to maintain appropriate inventory levels  
  • Participate in Field Inventory call back initiatives
  • Maintain vendor credentials with various credentialing companies and update as necessary


  • Financial Responsibilities
    • Submit timely expense reports and abide by the Expense Reimbursement Policy
  • Training
    • Participate in training plans and programs and complete in a timely manner within set deadlines
    • Complete required training prior to attempting to perform a task
    • Maintain required training documentation
  • Management
    • This position does not supervise others

  • Document Control and Record Control
    • Assist in the completion and retention of documentation pertaining to all SOPs as required
    • Legibly and accurately complete all documentation associated with assigned duties in accordance with GDP and review the written documentation of others as required
    • Maintain information in physical and electronic files as required
    • Train on and demonstrate proficiency in Xtant Medical’s document control system
  • Other duties as assigned


  • Performance of Duties
    • Complete required training, including initial orientation and environmental health and safety training, prior to performing tasks.  Keep training up to date
    • Perform all duties according to established procedures and follow appropriate safety precautions and measures
    • Conduct himself/herself in a professional and courteous manner in all aspects of interaction with fellow employees, surgeons, staff, and end users
    • Maintain a clean and safe working environment at all times
    • Must maintain confidentiality of donor and recipient information according to HIPAA

 D.        Job Requirements

  1. Education/Credentials Experience & Training
  • Bachelor’s degree and three (3) – five (5) years’ equivalent work experience in inventory control, supply chain, finance or operations 
  • Minimum of two (2) years’ experience in the Tissue Banking and/or Medical Devices industry or related industry


  1. Technical Requirements/Skills
  • Advanced ability to communicate effectively both orally and in writing and the ability to present effectively to small and large groups 
  • Advanced knowledge of MS Word, Excel, PowerPoint, Outlook, Power BI, MS Great Plains, experience with various ERP/inventory management platforms
    • Must possess excellent organizational skills
    • Prior understanding of FDA, ISO, and AATB regulations as they pertain to Tissues, Biologics, and Medical Devices is preferred

  • Must be able to reason independently and work with minimal guidance
  • Must deal effectively with a wide variety of personalities and situations requiring tact, judgment, and poise
  • Must be able to adapt to quickly changing priorities and schedules
  • Ability to maintain good working relationships with all co-workers and the general public, using good judgment in recognizing scope and authority

5.      Working Conditions

  • Working conditions include a normal office environment, healthcare environment, and other sterile environments
  • Job will require 50%-75% travel time and may require occasional weekend/evening work
  • Must be able to lift, push, and pull 60 lbs.

6.      Health and Safety

  • Must adhere to all health and safety requirements specified when entering healthcare and sterile environments and in the handling of company products
  • May require OSHA (bloodborne pathogen) training, SDS, and other safety training as applicable
  • Hepatitis B vaccine is highly recommended and provided to employees who may have contact with human tissue at no cost to the employee. Any employee who declines a Hepatitis B vaccine will be required to sign a waiver.
