Executive Administrative Assistant

Location: Warren, MI

Activity: U.S. TACOM

Clearance: Secret

Duration: 9 months (with possible extension for qualified candidate)

Start Date: NOVEMBER 2021

Position Description

General administrative office duties in accordance with policies and regulations.

Responsibilities include collecting information to establish the facts and take required action; preparation of data, information, and comments for reports; responses to inquiries or action items; briefing material and publications; budgeting; personnel records; employee time and attendance; payroll; and durable and non-durable inventory.

Prepare correspondence, reports, and documents ensuring correct grammar, format, and clarity in accordance with correspondence regulations and policy AR-25-50 Preparing and Managing Correspondence. Responsible for establishing and updating data files.

Use a variety of Microsoft Office applications (e.g. Word, Excel, Outlook, and PowerPoint) to create charts, emails, and official correspondence and administrative reports.

Maintain employee attendance records, maintain calendars, schedule meetings/appointments, submit visitor requests, and receive visitors and phone calls with the ability to ascertain the nature of the request, and direct callers to the appropriate staff.

Process travel orders and vouchers using the Government’s Defense Travel System (DTS).

Maintain attendance on a daily basis using the Government’s Out-Of-Office (OOO) and Automated Time Attendance and Production System (ATAAPS) program on the SharePoint portal as well as balance the attendance reports.

Promote awareness and compliance regarding safety issues in the workplace.

QUALIFICATIONS

·         Associate/Bachelor's degree in Business.

·         At least 5 years of professional experience in an administrative or executive assistant position.

·         Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.

·         Ability to use modern Information Communication Technology (ICT) equipment: telephone, computer, copier, printer, and scanner.

·         Typing speed minimum: 50 Words Per Minute (WPM).

·         Ability to prioritize and multi-task effectively in a fast-paced environment.

·         MUST HAVE A SECRET SECURITY CLEARANCE.
