Job Summary

WorkLife Partnership, a Denver, CO-based social enterprise, is actively recruiting an experienced Executive Administrative Assistant to support its senior leadership team, Board of Directors, and the organization as a whole. The Executive Administrative Assistant will need to know how to anticipate the needs of the senior leadership team and Board of Directors; perform job responsibilities with minimal direction; and be comfortable making decisions in and navigating ambiguous situations. As importantly, the Executive Administrative Assistant should be excited about supporting a tightly knit and driven leadership team (4-6 people) who is committed to building and improving its internal and external business.

The ideal candidate will have experience in both nonprofit and for profit organizations, possess an intermediate to advanced understanding of how nonprofits operate, be able to communicate comfortably and competently with C-level executives in- and outside the organization, be a confident user of technology, and be mature, discreet and committed to delivering amazing support.

This position will be 30-32 hours/week to start. As additional responsibilities are assigned it may increase to 40 hours/week within the first year. The Executive Administrative Assistant will report to the Chief Operating Officer but will be expected to respond with equal urgency to all executive team members and the Board of Directors. This job is hybrid and requires being in the office 1 day per week as well as in the office to support events, meetings, etc.

Senior Leadership Team Support

As directed, supports CEO, COO, CFO and CPO (Chief Program Officer) to ensure optimal use of leadership resources. May include:
  • Internal/external meeting scheduling
  • Internal/external communications including correspondence with funders, Board members and key customers
  • Assistance developing presentations, reports and other documents and materials
  • Support Employee Recognition program
  • Expense report management
  • Reminding/nudging to ensure deadlines are kept
  • Filter information; summarize and share key information where appropriate
  • Completing research and projects in support of organizational goal achievement

Board of Directors Support
  • Schedules all Board Meetings including Committee Meetings
  • Takes and Maintains Board Meeting Minutes; manages Board Secretary approval of Minutes
  • Manages Remote Board Votes; ensures Quorum is met and results are saved
  • Manages Board Files ensuring Board Members can easily access any/all reference materials; adhere to Roberts Rules of Order in managing Board documents and files
  • Maintain Board Service Records; ensure Board Chair is aware of re-election votes and other related administrative tasks
  • Draft Thank You notes and other Board Acknowledgements for CEO/COO signature

Traction (Bloom) Administration
  • Prints/shares quarterly reports with EOS Implementer
  • Maintains organizational Accountability Chart
  • Adds New Users and Maintains User Permissions

Staff and Board Travel
  • Assists Staff in making travel arrangements when needed
  • Manages all credit card pre-authorizations for staff who are traveling without a company-issued credit card
  • Assists Board Members with travel as needed
  • Liaises with Travel Agent; seeks opportunities for organization to reduce travel expenses while ensuring safety and security of staff while traveling

Event and Meeting Planning/Support
  • Plans, organizes and manages all Staff Events ensuring inclusive, high quality experiences for all participants
  • Schedules Quarterly Staff Meetings
  • Creates and shares Agendas for All Staff Meetings
  • Takes and shares Minutes from Staff Meetings; follows up on any open action items from meetings
  • Assists Leadership Team with planning/coordination of Annual Retreat
  • Supports departmental annual and quarterly pulse meetings by arranging for conference rooms/Zoom meetings, and catering
  • Ensures remote staff are provided compensation (e.g. Doordash) for meals catered for in-person staff

Desired Experience
  • 5+ years executive assistant experience preferably in a mix of nonprofit and for profit environments; at least 2 years supporting C-level executives
  • Intermediate knowledge of nonprofit operations/finance
  • G-Suite/MS Office power user
  • Salesforce experience strongly preferred
  • 2+ years experience supporting Board of Directors or similar governing body
  • Business and financial acumen; intermediate understanding of financial reporting (P&L, Balance Sheet)

Preferred Experience
  • Experience with Entrepreneurial Operating System (EOS)
  • Zoominfo

We are proud to offer a competitive salary and benefits package to our employees. The starting salary range for the Executive Administrative Assistant is $35-$42/hour DOE.
