Woodmont is seeking a Commercial Property Manager professional to manage a high profile commercial office and retail building in Millbrae. This position is Exempt working Monday - Friday, 8:00 am - 5:00 pm (schedule can be subject to change) with on-call duties required. This position is responsible for all management aspects of a commercial office & retail property plus an Association Expense budget including financial performance, staff management, maintenance, property appearance, vendor management and tenant relations. The property manager is the onsite representative for the property, exercising independent judgment and problem solving for tenants and building responsibilities. The property manager must provide service in a helpful, friendly and professional manner and must be diplomatic at all times when resolving tenant and employee concerns. Must have the ability to work well with all levels of personnel including asset managers/owners, company management, staff employees and vendors. The property manager will create and instill an atmosphere in which the property is a pleasant place to work, providing superior service to all tenants. The property manager must be creative and attentive, operate at a high level to manage the asset effectively and efficiently. Must always demonstrate a superior knowledge of the competitive marketplace. Principal Accountabilities and Essential Job Functions:1. Accountable for the financial and management aspect of the property. 2. Prepare property budget, monitor and explain monthly budget variances. 3. Consistently monitor property income and expenses. Achieve the highest level of tenant retention and collections while being prudent with operating expenses, all while effectively maintaining the property. 4. Develop and maintain good working relationships with tenants, staff, management, vendors and ownership. Ensure tenant satisfaction and resolve issues. 5. Responsible for calculating operating expense estimates and reconciliation and preparing invoices and backup to the tenants. Answer tenant questions regarding the billings. 6. Prepare lease abstracts for new leases and renewals. 7. Monitor vendor and tenant insurance certificates. 8. Accountable for the property maintaining accurate and thorough tenant files, ensuring all required documents are properly signed and filed properly in tenant file. 9. Manage the property staff including staff development, ensuring proper training of all employees, conducting and monitoring performance by timely completion of performance evaluations, goal setting, employee relations including corrective actions if necessary, scheduling and approving work hours, in accordance with wage and hour laws. 10. Develop and implement approved strategic plans for the property, which includes getting bids for capital expenditures. 11. Ensure all onsite operations are in compliance with company policy and procedures. 12. Monitor and enforce lease terms of agreements; billings and collections of rent and other charges per lease. Perform all assignments related to collecting rent. Deposit all monies in the bank OR use the electronic check scanner. 13. Oversee the process and timely completion of capital improvements. 14. Responsible for day-to-day operations of the property, such as monitoring on-site operation and collection programs as required by company. Prepare and serve delinquent notices, 3-day notices, and assist attorney with or file unlawful detainer actions in coordination with the Regional Manager. 15. Ensure office, vacant suites/spaces and building common areas meet company standards, maintained in a clean, neat and orderly fashion at all times. 16. As needed, assist the Leasing Broker with tours, broker lunches, and tenant improvement projects. 17. Ensure that all administrative reporting and filing are completed accurately and timely, including all monthly financial reporting. 18. Participate and ensure staff participation in training seminars and educational opportunities. 19. Conduct final suite/space inspection after tenant move-outs. Process Security Deposit refunds, arrange for the suite/space to be put on the vacancy master and collect all keys and access cards from the tenant. 20. Process vendor invoices according to client policies and procedures. Timely and accurately code and submit for payment all invoices to the Regional Property Manager and/or Accounts Payable Specialist. 21. Schedule and coordinate payments including timely progressive payments procuring sufficient documents from vendors such as waivers and subcontractor releases. 22. Resolve, using independent judgment, all tenant concerns and maintenance requests. Work with vendors and staff with a friendly positive approach and in a timely manner. 23. Manage the curb appeal of the property, make arrangements for completion of service requests and direct custodians, service personnel and vendors to maintain the highest level of quality on the property at all times. Responsible for conducting monthly walkthroughs with the janitorial and landscaping company representatives. Maintain Project Lists to track work in progress. 24. Monitor and maintain adequate office supplies/equipment following WRES procedures. 25. Responsible for physical property and landscape inspections to ensure highest quality is maintained consistent with established specification.Responsible for ensuring that all Fire and Life Safety Equipment, as well as elevators are maintained and inspected regularly and that all permits are current. 27. Maintain building rules and regulations. Perform all lease administration, upholding all obligations of the lease for both tenants and landlord from move–in to move–out.Participate in WRES Company Emergency Response Program.Be available for after hour emergency consultations.Possess and maintain proficient computer skills including, but not limited to the approved property software platform (Yardi), MS Office products such as Word, Excel and Outlook.Manage, organize and prioritize a variety of projects and multiple tasks in an effective and timely manner. Meet critical time sensitive deadlines.Maintain confidentiality of sensitive personal information of applicants, tenants, employees and former employees and tenant. Minimum Qualifications: 1. Education/Experience: Bachelor degree preferred but not required. Minimum of five years’ industry experience with proven management and customer service skills. Knowledge of tenant, eviction and applicable federal state and local laws, codes and regulations pertaining to the commercial property management industry. California State Real Estate Salesperson’s license is required and RPA, CPM or other designation is desirable. 2. Language Ability: Effective verbal and written communication skills. Ability to read and comprehend reports and invoices. Ability to create, compose and edit written materials. Polished interpersonal skills. 3. Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Ability to establish priorities and coordinate work activities. Ability to assimilate and analyze information pertaining to market and economic conditions that may impact client goals. 4. Computer Skills: Must have excellent computer skills including strong knowledge of the property management software (Yardi), Microsoft Outlook, Word, Excel and the internet. The property requires use of client’s Yardi platform including a work order management component. 5. Mathematical Skills: Ability to calculate figures and amounts such as add, subtract, multiply and divide, calculate discounts, interest, bonuses, proportions, percentages. Ability to apply concepts such as fractions, percentages, and proportions to practical situations. Ability to assess financial performance and accurately forecast future financial performance. Firmly understand components of Total Operating Revenue, Variable Operating Expenses and Net Operating Income. 6. Certifications, Licenses: California State Real Estate License is required. CPM designation through IREM or RPA designation through BOMA preferred.
