Full Time - Transaction Coordinator – Real Estate Team

Successful real estate team in Brookline seeks a professional Transaction Coordinator to manage all aspects of the sales process from contract to close, including document management, scheduling, communication to all stakeholders. Be able to coordinate all activities to make ensure contract terms/dates are met and documents are signed, reviewed and delivered on time. Provide general administrative support for team leader.

Transaction Coordinator Responsibilities include:

  • Create & execute new listing & buyer contracts, ensuring they are signed property and timely

  • Coordinate checks delivery so they are deposited into escrow in a timely manner

  • Send next-steps emails to clients

  • Obtain compete contact information for Buyer side and Seller side sales and enter into Deal Sheet and Outlook, organize by closing date Enter in Outlook, share with other parties in deal as needed.

  • Create and oversee progress of each deal in DotLoop (transaction management software)

  • Manage, review and gather documents/disclosures in a timely manner to facilitate the transaction

  • Oversee the timeline for all properties (using appropriate web-based tools) and ensure dates are hit, or get extensions in place

  • Coordinate with GG and cooperating realtors, inspectors, clients, lenders, office managers, attorneys, appraisers, vendors, clients, prospects.

  • Schedule appointments for agents for showings, inspections, walk-throughs, closings

  • Obtain, communicate, file documents throughout transaction (eg inspection reports, loan commitments, vendor estimates etc)

  • Coordinate closing and post-closing activities

    General Admin Responsibilities include:

  • Provide office-based support for agents in the field (eg. phone requests, draft offers as directed etc.)

  • Trouble-shoot and manage changes to technology tools used in the course of business eg. Dot-loop, Boomtown, Dropbox, Outlook

  • Assist in financial management of day-to-day operations (eg. oversee team expense reimbursements, review vendor bills eg. photography etc.)

  • Assist the hiring process and training

  • Assist in lead-management response

  • Occasional support for marketing manager

  • Personal assistant tasks as needed for Mary

Miscellaneous

  • In a small team environment, we all pitch in so expect other tasks as needed. We all do it all if we have to!
