Job Description 

The Office Manager and Analyst is responsible for overseeing and completing daily corporate functions across multiple departments including but not limited to HR, Accounts Payable and Accounts Receivable while also providing supporting analytics regarding the budgetary impact of operations and spending.  This position reports to the Chief Operating Officer.

The essential job functions include, but are not limited to:

  • Accurately and efficiently process moderately complex accounting data into spreadsheets or accounting system to assist in review of daily revenue and cost.  Exercises judgment within defined procedures and practices to determine appropriate action. 
  • Create, update and maintain timely financial reports to complete daily, weekly, and monthly forecasts. ensuring all deadlines are met.
  • Work with CEO, COO, and Corporate Controller to examine monthly financials and recommend cost control strategies. 
  • Facilitate the hiring of qualified job applicants for open positions.  Create and conduct new hire orientation.
  • Direct and perform routine tasks required to assist related to the administration of human resource programs including payroll and handle routine (delete) employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff. Works on problems of moderate scope where analysis of situations or data requires a review of a variety of factors. 
  • Act as liaison between WWS and corporate, back-office departments to ensure timely and efficient support for WWS operations. Builds productive internal/external working relationships.
  • Provide feedback and guidance to employees or job applicants. Answer general questions regarding company personnel policies, benefits, and procedures to employees or job applicants.
  • Understand and support effective business processes, while seeking to develop and implement processes that continuously improve the performance of the organization. Works on assignments that are moderately difficult, requiring judgment in resolving issues or in making recommendations.

Other duties

  • Source, assemble and prepare various ad hoc reports, memos, letters, graphical representations, and other documents as needed.
  • Responsible for determining appropriate responses and direction for incoming inquiries via phone or email. Answer phones and directs calls to appropriate parties or take messages.
  • Provide administrative guidance and support to other Managers and Supervisors as needed.
  • As needed, coordinate travel arrangements for executives and operations personnel using travel policies and budget guidelines.
  • Perform other duties as assigned.

Requirements

WildFire Water Solutions is a cutting-edge, new venture and the qualified individual must be able to work independently in a fast-paced and evolving landscape with an attention to detail. The requirements listed below are representative of the knowledge, skill, and/or ability required:

  • At least 5 years of experience, or bachelor’s degree in Human Resources, Business Administration, Finance, or related field preferred.
  • Human resource management experience preferred (SHRM-CP or PHR a plus).
  • Must have an understanding of basic accounting functions, possess strong analytical skills, be detail oriented, and be able to evaluate financial data.
  • Highly proficient in Excel and PowerPoint; must be familiar with all Microsoft Office applications. 
  • Excellent verbal and written communication skills.
  • Strong organizational and prioritizing skills and the ability to work under pressure and tight deadlines.  
  • Excellent interpersonal, negotiation, and conflict resolution skills.
  • Ability to act with integrity, professionalism, and confidentiality.
  • May require some travel.

Physical Demands and Exposures

  • This is a hybrid position working from home and occasionally the corporate office.
  • Monday – Friday, 8am-5pm.  The nature of the business will require some evening and weekend work.
  • Involves sitting at a desk for extended periods of time.
  • Ability to lift up to 50lbs.
