Job Summary

The Property Manager position under the supervision of the Senior Property Manager is responsible for the oversight and coordination of all aspects of the day-to-day operations of assigned properties, including maintenance and repairs, tenant relations, owner relations, budgeting, monthly financial reporting, and capital planning. The Property Manager coordinates the completion of tenant improvements, is knowledgeable of the terms of tenant leases, and works with outside vendors to completed budgeted and ad hoc projects throughout the year. Additionally, the Property Manager is responsible for the preparation of the annual budgets and operating expense reconciliation, as well as reviews the monthly reporting on the financial performance of the properties. The Property Manager reviews and approves payables for the properties, as well as reviews and approves monthly tenant statements and is responsible to ensuring the timely collection of all rents due.


Specific Duties

Provide excellent tenant service. Respond to tenant questions/problems in a timely and courteous manner. Follow-up with tenants to insure satisfactory resolution of any issues. Proactively manage the property to minimize tenant complaints. Arrange for 24-hour emergency coverage for the property at all times.

Provide excellent client service. Ensure all reports and budgets are completed accurately and submitted on time.

Oversee all vendors and contractors working at the property to maintain a high standard of performance in accordance with the terms of contracts and the expectations of the owners and tenants. Ensure all vendors and contractors provide proper proof of insurance coverages in accordance with the terms outlined for each property.

Conduct periodic inspections of the property and tenant spaces to ensure upkeep of the property. Prepare inspection reports and follow up with maintenance and administrative staff to ensure deficiencies are remedied.

Prepare and present to ownership the annual operating budgets which include leasing assumptions for the coming year, commissions, tenant and capital improvements, energy costs, life safety systems and all other income and expense categories of the P&L.

Review for accuracy and approve all invoices for the property. Compare invoices to the budget to ensure expenses adhere.

Read all new lease documents and approve abstracts prepared by the Assistant Property Manager. Review and approve monthly tenant billing reconciliation packets for accuracy. Ensure all rents are collected per the terms of the leases in a timely manner.

Review monthly financial reports for the properties and provide ownership with a summary of operations, including leasing activity variances to the budget, tenant issues, and capital projects.

Assist Leasing Brokers with the procurement of construction estimates for prospective and renewing tenants.



Education: Real Estate Sales Associate License required (can be obtained within first six months of employment). Bachelor’s degree preferred.

Software: Strong literacy in MS Word and Excel, Adobe Professional, Yardi Voyager a plus.

Other: A minimum of 5 years experience working in real estate with property management experience preferred.

Working knowledge and experience in financial accounting in commercial real estate, financial reporting and budgeting necessary.

Ability to read, interpret and fully understand leases, storage and parking agreements, and related documents.

Hands on familiarity with tenant improvement construction projects; ability to plan, organize and coordinate multiple projects, ability to understand construction specifications and blueprints.

Highly organized and skilled with time management.

Must possess excellent written and oral communications skills.

Strong customer service/tenant relation skills required.
