Job Description

We are looking to hire an Real Estate Executive Assistant to join our team! You will be responsible for overseeing the administrative activities of the organization. Ideally you will be attached to the CEO/Owner managing his calendar, real estate appointments/meetings, and partnering extremely closely with him on all of his day to day activities. This requires a very in-depth and intimate view + responsibility helping manage company and personal finances/investments (as there is a lot of overlap being the owner). In the office you will often be viewed as the GO-To Office Manager type, that is able to work with and provide assistance to team members across all kinds of areas. You are often the glue holding many teams and aspects of the organization together! If you were viewed as a Go-To person for all questions in a previous role, you know the job well!

At a distance this role is equal parts: Executive Assistant, Real Estate Assistant, Office Manager, Real Estate Financial/Accounting specialist, and Best Friend! Someone accustomed to wearing many hats that knows there way around a Real Estate office and its inner workings will fit in great – below is a laundry list of ideal responsibilities but we are most interested in Real Estate office experience, being attached at the hip with Executives/Admin capacity and overall culture/team fit since you literally interact with members of the entire company often!

Responsibilities:

  • Handle administrative needs of the CEO
  • Arrange conference calls and meetings
  • Plan work-related travel details
  • Manage records and information
  • Plan and maintain work facilities
  • Provide administrative assistance to management team
  • Perform other office tasks (replenish office supplies, distribute mail, custodial duties, etc.)
  • Draft correspondences and other formal documents
  • Plan and schedule appointments and events
  • Develop and implement organized filing systems
  • Receive visitors
  • Train and supervise lower-level clerical staff
  • Maintain and order supplies

Qualifications:

  • Previous experience as an executive secretary, administrative assistant, or Office Manager in a Real Estate brokerage or environment.
  • Ability to prioritize and multi-task
  • Super Strong organizational skills, as you will be helping keep the CEO and yourself orgranzied!
  • Sharp Deadline and incredibly detail-oriented
  • Strong leadership qualities
  • Ambition and personal drive to get things done and hold others accountable, including the CEO, is of utmost importance.

Financial & Real Estate Responsibilities:

  • Prepare and examine accounting records, financial statements, taxes, and other financial reports
  •   Oversee the flow of cash and financial investments for business operations and budgets
  • Report Budget analysis and findings to management team (be able to track and inform Executive staff of all the money we have going out monthly and where to)
  • Obtain primary financial data for accounting records
  • Check the accuracy of business transactions, marketing documents  
  • Oversee the flow of cash and financial investments
  • Analyze information to assess current and future financial statuses
  • Review costs for optimal budget planning

  • Coordinate the approval process of the Executive’s loans and lines of credit
  • Oversee the flow of cash and Executive’s financial investments
  • Analyze information to assess current and future financial statuses
  • Review and approve inner office costs/purchase requests from employees for optimal budget planning and reporting.
