We're looking for someone who is out-going, self-motivated and dependable to provide administrative and clerical support to the Executive Management team in the NYC office. This position involves the coordination of meetings and conferences, working on special projects; also answers phone lines and working with highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
o Offer administrative support across the New York Office. Organize and prioritize large volumes of information and phone calls for executive and corporate departments; respond promptly to requests for information. Work closely, in cooperation with other assistants on team to cover phones.
o Coordinate front-desk activities, including distributing correspondence and redirecting phone calls. Perform data entry, prepare materials for executive meetings, and scan documents as needed.
o Perform a variety of administrative and clerical tasks, using Outlook, word, excel, or powerpoint software.
o Run personal errands when asked (i.e. pickup lunch).
o Re-stock the pantry on a regular basis.
o Unload the dishwasher and put the dishes away.
o Welcome guests positively and greet people who visit the business as you will be the first point of contact for our office.
o Execute all administrative tasks to the highest quality standards.
o Other duties as assigned.
This is a full-time position. Days and hours of work are typically Monday through Friday, 8:30 a.m. to 5:30 p.m.

o 2+ years of hands on administrative support experience
o Proficiency in MS Word, MS Excel and MS Outlook a must
o Knowledge of operating standard office equipment
o Excellent communication skills – written and verbal
o Ability to prioritize projects and strong problem solving skills
o Good research skills and attention to detail
