Job Description

We are looking to hire a full time dispatcher/customer service rep to handle incoming calls from clients and technicians and schedule service appointments daily and weekly. We are a small family owned company that has been in business since 1948. We offer residential and commercial HVAC and plumbing service. Currently we have 10 employees and while we are looking to grow our company we don't have intentions of growing larger than 12-14 employees. We are customer focused and above all else we are honest with our co-workers and clients. Experience in our industry would be nice but not required. Experience as either a dispatcher or appointment scheduler for medical offices would also be very useful.

Training must be done in the office, however, this position can move to remote work once you are fully onboarded and productive in the role. We are offering a competitive sign-on for the most qualified candidate. 

Job description:
Hours are 8am - 5pm Monday - Friday
Answer incoming calls from clients and co-workers
Schedule service calls with clients
Organize service technicians route for the day based on their home address and the calls they have
Prioritize calls based on location vs emergency or non
Proactively order parts from suppliers to be shipped to office or delivered to tech in field
Offer maintenance agreements to new clients as well as existing over the phone
Renew maintenance agreements to existing clients
Quote customers prices for repairs based on established methods over the phone

Requirements:

2-5 years of experience in retail or office environment

2+ years of dispatching experience

Must be honest and trustworthy!
Must be extremely detail oriented (seriously, must be organized)
Must be proactive and self driven
Must be able to work with a team
Must have a extroverted personality (the kind of person where you have never met a stranger)
Retail customer service experience would be helpful
Proficient with computers and tablets
Proficient with Microsoft Word and Excel
Quickbooks experience would be helpful
Must be punctual
Organize maintenance program clients daily to be schedule future visits and log the current visit
Need to be geographically savvy and have a good understanding of Birmingham metro area (must be aware of how to get around town and understand directions)
