Medical Receptionist Duties and Responsibilities
The medical receptionist duties are wide-ranged and include:
· Welcomes patients and visitors both in person and on the telephone answering or referring inquiries
· Scheduling appointments in a manner that optimizes patients’ satisfaction, provider time and treatment room utilization
o Provides sufficient time for the level of exam scheduled
o Takes into consideration the urgency of the complaint when scheduling appointments
o Reschedules appointments when necessary in a manner respectful of the patient’s time
· Registration of new and returning patients
· Verification of health insurance coverage
· Maintains the work flow of the office by keeping patient appointments on schedule by notifying the physician of the patient’s arrival and reminding the doctor of service delays
· Files and retrieves patient records—both paper and electronic medical records as indicated
· Review the encounter ticket for proper billing and coding
· Maintain patient’s accounts
o Updates personal and financial records (verify each visit)
o Collects and records patient charges
o Expedites third-party claims (insurance)
· Maintains office inventory and equipment
o Checks stock of supplies regularly to determine inventory
o Maintain calibration of equipment
· Adheres to HIPPA standards maintaining strict patient confidentiality
o Keeps all charts, lab and other studies out of sight of other patients, visitors or vendors
o Schedules appointments for consultants, diagnostic studies and all confidential matters in a manner that confidential information is never overheard by others
· Maintains operations by following policies and procedures and reporting needed changes
