Job Description

 Accrediting Commission for Schools, WASC

 

EXECUTIVE ASSISTANT FUNCTION, Reporting to EVP:

Under the direction of the Executive Vice President (EVP), the Administrative Assistant will work directly with him/her and will be responsible for performing a variety of administrative duties.  The Administrative Assistant will also support the Directors and International Team as needed.

 

REPRESENTATIVE DUTIES:

  EXECUTIVE VICE PRESIDENT SUPPORT

·       Serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Executive Vice President

·       Independently compose letters, memoranda, and emails regarding International: postponements requests, verifying accreditation, date change letters w/fee, etc.

·       Official letters for International Schools, Mid-cycle & Self-Study letters  

·       Support of EVP’s calendar and “master calendar” of staff/cross train

·       Involved in updating and creating PowerPoint presentations for training and handling training

·       Prepare/Submit Expense Reports and Credit Card (AMEX and/or BofA) for EVP

·       Involved in designing/updating brochures, pamphlets, and manuals for organization

·       Involved in updating and creating PowerPoint presentations for training

·       Issue Electronic Certificates

·       Assure timely communications among executives, staff, members

·       Maintain an organized filing system of electronic documents

·       Uphold a strict level of confidentiality

·       Perform a wide variety of problem-solving tasks in support of staff

·       Perform additional duties as assigned

 

  

SKILLS AND ABILITIES:

SKILLS:

·      Minimum of 3 years of experience as an Administrative Assistant reporting to directly to senior management

·      Advance Microsoft Office skills - Word, Excel, PowerPoint, Outlook and data base software, with an ability to become familiar with company-specific programs and software

·      Ability to learn new software - Adobe, Doodle or Survey Monkey Polls, WASC IM (Instant Messaging)

·      Strong organizational, project management and problem-solving skills with multi-tasking abilities

·      Exceptional interpersonal skills, oral and written communication skills

·      Knowledge of operating office machines, including computer equipment, mail machine, scanner

·      Friendly and professional demeanor

 

ABILITY TO:

·      Perform and coordinate office, administrative and clerical work in support of EVP

·      Learn, interpret, apply and explain WASC policies, rules, and objectives  

·      Work independently with little direction

·      Compose correspondence independently

·      Perform duties effectively with many demands on time and with constant interruptions

·      Establish and maintain effective working relationships with others

·      Meet schedules and deadlines

·      Plan and organize work

·      Train and provide work direction to others

·      Maintain records and prepare reports

·      Work confidentially with discretion

 

EDUCATION AND EXPERIENCE:

·      Any combination is equivalent to graduation from high school and three years as an Administrative Assistant.  BA or PS preferred

 

PHYSICAL DEMANDS AND WORKING CONDITIONS:

·      Office environment; subject to frequent interruptions

·      Work under the pressure of deadlines and time constraints

·      Light physical activity and lifting up to twenty pounds

·      May be required to work at a computer workstation for extended periods of time

·       Occasional travel involved
